Job Summary:
Join a mission-driven team at Point Loma Nazarene University as the University Administrative Assistant to the Vice President for University Advancement and Office Manager. This dynamic, full-time role supports both executive leadership and department-wide initiatives—balancing high-level administrative tasks with meaningful engagement across campus and the broader university community.

Salary:
Pay range $26.89 – $30.25
Actual salary offered is determined by the candidate’s experience, education, skills, and other factors, including internal equity and university funding resources.

This position is primarily in person and will provide dependable and professional in-person support.

Job Description:

Experience managing events, coordinating logistics, and ensuring smooth day-of execution
A strong internal liaison able to coordinate across multiple departments and service areas
A reliable point person for maintaining supplies, managing guest spaces, and handling daily operations
A creative contributor to special projects, communications, and donor support initiatives

What You’ll Be Doing
Providing direct administrative support to the Vice President for University Advancement, including calendar management, meeting prep, and travel coordination
Handling confidential correspondence and materials with professionalism and discretion
Assisting with donor visit logistics and supporting external meetings and events
Managing shared inboxes, incoming calls, and departmental communication
Processing invoices, transfers, deposits, and providing budget reporting as needed
Coordinating upkeep and usage of Advancement facilities including Alumni House, Cottage, and Alumni Lawn
Scheduling and managing guest stays, event setup, and logistics for campus gatherings
Supporting event coordination efforts such as Homecoming and Women’s Auxiliary projects
Assisting with onboarding new team members and maintaining department inventory
Taking minutes for Board of Trustees External Engagement Committee meetings and organizing team gatherings
Qualifications
Two years of increasingly responsible administrative experience preferred
Bachelor’s degree in a related field (Communications, Business, Public Relations) preferred
Strong computer skills, including Google Workspace, Microsoft Word and Excel
Previous experience with a database preferred
Strong verbal and written communication skills required
Customer service experience preferred
Ability to work effectively with clients of all ages and backgrounds
Strong organizational skills and independent judgment in prioritizing tasks
Ability to work well in a collaborative team environment
Strong interpersonal skills to build effective relationships with alumni, faculty, staff, students, and the public

Physical Requirements
Sitting for periods greater than one hour. Use of computer equipment: computer keyboard, mouse, and monitor. Vision to read documents, e-mail, other correspondence, and reports on paper and computer monitor. Hearing and speaking to communicate effectively with others in person and by phone. Will also stand, stoop, push, pull, and lift up to 10 lbs. throughout the day.
