Job Duties

The Virginia Department of Agriculture and Consumer Services, Office of Plant Industry Services and Office of Weight and Measures, Division of Consumer Protection is seeking a qualified individual to serve as an Administrative and Office Specialist for inspection staff and Regional Supervisors, based out of a VDACS office located in Wytheville. Duties include Conduct data entry activities in order to provide clerical support to field inspection staff, maintaining physical and digital filing systems, conducting phone reception and mail handling activities; professionally answering & directing incoming phone calls; properly directing incoming and outgoing mail, and procuring field equipment and other supplies for staff. Additional duties include maintaining complaint and inspection report files; receiving, reviewing, entering, and filing weekly work report data; receiving and assigning consumer complaints to appropriate inspectors for investigation; and receiving, compiling and maintaining violation files and forwarding to appropriate supervision. This position also interacts and communicates professionally and effectively with clients, co-workers, and the public, by telephone, in-person, and electronically providing accurate and timely assistance. This position is office based.

Minimum Qualifications

Knowledge of current, basic office processes, equipment and procedures along with effective oral/written communication skills; demonstrated exceptional customer service skills in an office setting; and the ability to work in a fast-paced, high volume office environment. Ability to follow Virginia procurement rules and follow purchase restrictions. The ability to present a positive image to the public is required both by telephone and in person. Proficiency using personal computers to include the MS Office Suite and complex databases, or other electronic document management systems. Current experience working in an office environment include managing calls, processing mail, data entry, filing (both electronic and paper), and explaining regulatory requirements to the public and regulated industry. Experience with inspection and complaint databases. HS Diploma/GED required

A combination of related education, training and experience indicating possession of the preceding knowledge, skills, and abilities to include knowledge of business-oriented curriculum and previous work experience within a regulatory agency or direct experience with plant industry and weights and measures laws and regulations
