We are seeking a detail-oriented and proactive Administrative Assistant to join our team in a 349 unit high-rise condominium in Honolulu, HI. This role is essential in ensuring the smooth operation of our office by providing administrative support to various departments. Responsibilities
Manage and organize office tasks, including scheduling and maintaining calendars. This position handles the scheduling and coordination of repair services.
Provide excellent customer service by greeting residents and answering inquiries in a professional manner. Assist with phone etiquette by handling incoming calls, directing them appropriately, and taking messages when necessary.
Perform data entry tasks accurately and efficiently to maintain up-to-date records, maintaining an organized filing system for both physical and electronic documents.
Proofread documents for accuracy and clarity before distribution.
Collaborate with team members to ensure effective communication and workflow within the office.
Support community management duties as needed, ensuring resident confidentiality, providing information and support to the Resident Manager (RM) as well as entire staff and residents.
Ability to maintain resident confidence and protects operations by keeping information confidential. Responsible for new homeowner orientations, Scheduling move-ins and move-outs, deliveries and vendor services, maintenance requests and follow-up.
Respond to residents requests for amenity services, locating and recommending activities or services of interest to homeowners, in addition to addressing issues/challenges that do not require the direct attention of Management.
Perform additional tasks as assigned by the RM
Experience
Previous experience as an administrative assistant in a condominium community is preferred.
Strong customer service background with demonstrated ability to interact positively with residents and colleagues.
Proficiency in data entry with attention to detail is essential.
Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment.
Familiarity with phone etiquette and professional communication standards is crucial.
Basic knowledge of office software applications (e.g., Microsoft Office Suite) is required; experience with community management software (e.g., BuildingLink) is a plus.

Pay: $20.00 – $22.50 per hour
