Full Job Description

The Administrative Assistant perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing company’s general administrative activities.

Job Duties:
Accounts Payable

Process check requests and expense reports on a regular basis

Accurately review, code, and process vendor invoices

Perform monthly reconciliations

Perform data entry associated with accounts payable

Review and reconcile invoice discrepancies

Audit and process credit card bills

Address and respond to vendor inquiries

General Office Duties

Provide administrative support to ensure efficient operation of the office

Greet office visitors and answer telephone calls

Assist with event planning

Coordinate travel arrangements for staff

Perform general clerical duties such as photocopying, scanning, filing, and faxing

Maintain filing systems, both electronic and physical

Perform data entry and update databases as needed

Maintain office supplies inventory and place orders when necessary, including research of new deals and suppliers

Perform other duties as assigned

Education and Experience:

2 years of experience as an administrative assistant or similar role

2 years of experience in accounts payable

Knowledge of basic accounting principles

Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)

Additional Eligibility Qualifications:

Experience working with Deltek CostPoint desired

Strong organizational skills

High attention to detail

Strong organizational skills with the ability to prioritize tasks

Attention to detail and problem-solving abilities

Ability to handle sensitive information with confidentiality

Familiarity with phone systems and office equipment operation
