The Front Office Coordinator plays a significant role here at Bridgewater Retirement Community. The Administrative Center is a main entry point of our campus for many individuals and requires an individual who can promote a welcoming, friendly, and professional experience.
Candidates must be able to successfully perform the essential functions of this position
Greet and assist visitors, residents and team members in a professional and friendly manner.
Manage the lobby area, ensuring it is clean, organized, and always welcoming.
Ability to multi-task and prioritize tasks.
Answer and transfer phone calls and provide information as needed.
Manage work orders received from residents/team members by entering them into our WorxHub application.
Assist Resident Services with daily resident appointment schedules by receiving calls and notifying the Resident Services team a resident is ready to return to campus.
Manage daily mailroom tasks by preparing outgoing mail with postage, sorting/organizing incoming mail for delivery.
Receive deliveries and arrange for pick-up or delivery.
Maintain office supplies and coffee bar inventory and place orders as needed.
Assist in the preparation of documents and mailings as requested.
Ensure a positive office environment by responding to inquiries and offering administrative support.
Communicating Updates as needed to team
Assist Coordinators as needed
Ability to recognize tasks that could be modified for efficiency and work with supervisor to make the modifications
Other duties as assigned. High school diploma or equivalent required – Associates or Bachelors degree preferred
Proven experience in a front office or customer service role
Ability to work effectively with a wide range of people, especially older adults
Exceptional customer service skills including prompt follow-up, attention to detail, problem-solving, active listening, and a helpful and compassionate demeanor
Strong written and verbal communication skills
Demonstrated commitment to high professional and ethical standards, maintaining professionalism and integrity in all interactions with residents and families while upholding the values and mission of BRC
Ability to work effectively in a team environment and independently
Aware of HIPPA confidentiality of resident and team member information
Proficient with Microsoft Office Suite and other applications used by this position
Knowledge of office equipment (phones, computer, copiers, etc.)Show more
