Role Description
Pro Sports Medicine are looking to recruit an administrative assistant to join our fast-growing, physiotherapy and sports medicine clinic. The ideal candidate is efficient and organised, detail-oriented, and skilled in developing and maintaining workplace and customer relationships.
This is a part-time, on-site role for an Administrative Assistant located in Cardiff. The Administrative Assistant will be responsible for performing clerical duties, supporting executive staff with administrative tasks, answering and managing phone calls, and ensuring effective communication within the office. The role requires a high level of organization and attention to detail to maintain smooth office operations.
Administrative Assistant Job Responsibilities:
ï‚· Provide administrative support to practice manager to ensure efficient clinic operations.
ï‚· Maintain accurate patient data on our software system, Cliniko.
ï‚· Answers phone calls and directs callers to appropriate personnel, schedules appointments, invoicing patients
and third parties (insurance companies).
ï‚· Responds to emails and other digital queries and correspondence.
ï‚· Manages calendars for clinicians.
ï‚· Operates and maintains office equipment, including printers and scanners
ï‚· Works closely with other administrative staff and supports other colleagues as needed.
ï‚· Works with sensitive information with discretion to maintain confidentiality and security and ensure
compliance with privacy policies and regulations.
ï‚· Presents a positive and professional image for the organisation.
Work Hours:
 Contracted hours 15-20 hours per week, with pro-rata holiday pay. Salary £11.50 per hour
Administrative Assistant Skills:
ï‚· Digital literacy
ï‚· Familiarity with standard office platforms, such as Microsoft Word
ï‚· Data management and entry skills, including the ability to maintain filing systems
ï‚· Accurate record keeping
ï‚· Written communication skills
ï‚· Time management, multitasking, and flexibility
ï‚· Organisational skills
ï‚· Accuracy and attention to detail
ï‚· Supply management and inventory control

Previous Experience:
ï‚· Past administrative experience in an office/clinic setting
