Role Summary

Hall Capital is seeking a proactive and innovative Administrative Assistant to join our Portfolio Management Group (PMG). This role not only involves traditional administrative tasks, but also offers the opportunity for the right candidate to make an impact by improving and streamlining our current processes. The ideal candidate will be highly organized, detail-oriented, energetic, proactive, have an eye for efficiency, positive attitude, and embody the “no job is too small” philosophy.

How You Will Make an Impact

Provide overall assistance to the PMG team as needed. This may include handling various administrative tasks to support the effective operation of the group.

Perform heavy calendaring duties for the team, scheduling meetings, and ensuring all schedules are well-coordinated and conflicts are avoided.

Coordinate all aspects of travel arrangements for team members including flights, accommodation, and transportation.

Build a strong understanding of the team’s goals, operations, and needs. Proactively contribute strategies for efficiencies and help the team in executing tasks effectively.

Provide specialized administrative support for Managing Directors, including handling sensitive or confidential information and coordinating monthly expense reports.

Assist with the creation and production of client books, ensuring they are accurate and produced in a timely manner.

Assist in planning and coordinating events, both internal and client-centered. This includes logistics, venue management, scheduling, and ensuring all necessary resources and equipment are available.

Be an active member of the Administrative Team, serve as backup Reception as needed.

Additional duties as assigned.

Who You Are

Have a Bachelor’s degree or equivalent education and experience.

Possess a minimum 2+ years of experience as an assistant or in a service focused position.

Are highly proficient in Microsoft Office, including Outlook, Word, PowerPoint, and Excel.

Enjoy providing excellent customer service, both internally and externally.

Possess excellent organization skills and a strong ability to balance time-sensitive priorities while maintaining a high level of attention to detail.
