We are seeking a highly organized and proactive EA/OC to provide direct administrative support to the CEO and lighter support to the wider management team. This role requires a detail-oriented professional who thrives in a fast-paced environment, can anticipate needs, and ensures seamless day-to-day operations. The ideal candidate is a problem solver with excellent multitasking skills, capable of handling sensitive information with discretion and professionalism. Responsibilities:

Provide high-level administrative support to the CEO, managing schedules, meetings, travel arrangements, and correspondence.
Take comprehensive meeting notes, track action items, and proactively follow up to ensure execution.
Plan and coordinate international and domestic travel, including flights, accommodations, itineraries, and visas.
Prepare, organize, and maintain spreadsheets, reports, presentations, and internal documentation as needed.
Oversee and optimize the company’s Google Drive structure, ensuring documents are well-organized, up-to-date, and accessible.
Serve as the point of contact for internal and external stakeholders, demonstrating professionalism and friendliness in all interactions.

Qualifications:

3+ years of experience in an Executive Assistant, Office Coordinator, or related administrative role.
Strong ability to manage multiple priorities, stay organized, and work independently in a dynamic environment.
Exceptional time management and problem-solving skills, with a proactive mindset.
Excellent verbal and written communication skills, including professional email correspondence and document preparation.
High level of discretion and confidentiality when handling sensitive business matters.
Advanced proficiency in Microsoft Office Suite, Keynote, and Google Workspace.
Hybrid role – New York-based preferred.

Job Type: Full-time

Pay: $50,000.00 – $60,000.00 per year
