The Valley Park School District seeks an exceptional Executive Assistant to the Superintendent who is highly motivated, qualified and knowledgeable.

The job of Executive Assistant was established for the purpose of providing a wide variety of highly responsible, confidential and complex administrative and secretarial duties for the Superintendent of Schools; to plan, organize, and oversee the operations and functions of the Administrative office; and providing information and assistance to students, faculty, staff, and the general public.

This position requires a highly qualified Executive Assistant who serves as the Assistant to the Superintendent. This position is responsible for supporting all administrative functions for the Superintendent and provides administrative support to the Board of Education.

Responsibilities and Duties:

Responds to inquiries from a wide variety of internal and external audiences (e.g. district staff, other schools, state and federal agencies, general public, students, law enforcement, etc.) for the purpose of providing information, facilitating communication among parties and/or providing direction.
Coordinates a variety of activities (e.g. communications, appointments, meetings, conferences, workshops, travel and accommodations, work activities, etc.)
Maintains a wide variety of manual and electronic documents, files and records (confidential and non-confidential) (e.g. calendars, administrative and financial records, program records, resource materials, reports, student scores, budget data, etc.) for the purpose of providing up-to-date reference and audit trail.
Screens inquiries of staff, students, parents, the public, etc. (e.g. phone calls, visitors, etc.) for the purpose of taking appropriate action, interpreting and applying policies and procedures and/or directing to appropriate personnel for resolution.
Compiles data from a wide variety of sources for the purpose of complying with financial, legal and/or administrative requirements of the assigned area.
Supports Cabinet administrators for the purpose of providing assistance with administrative functions.
Prepares written materials (e.g. reports, forms, budgets, requisitions, brochures, minutes, agendas, correspondence, etc.) for the purpose of documenting activities, providing written support and/or conveying information.
Organizes and facilitates the distribution and/or collection of materials for the superintendent’s and Board of Education activities.
Prepares weekly and monthly reports for the Board of Education.
Serves as secretary to the Board and works with the superintendent to prepare Board of Education agenda, attends all Board of Education meetings and records votes and develops meeting minutes in accordance with Board policy and Missouri statute.
Supports the superintendent and board of education in logistics, including: planning, organization and scheduling.
Coordinates all registrations and travel arrangements for Board and superintendent including maintaining appropriate records.
Keeps Board members apprised of all calendar events and protocol for various district events.
Upholds confidentially as it applies to all board of education processes and related duties.
Responsible for ensuring compliance with Missouri statute as it relates to public meetings laws and disclosures.
Responsible for assisting administration and entering district data in DESE Core Data and uploading district reports in DESE MOSIS per the annual reporting schedule.
Manages criminal background checks and reporting.
Responsbile for all local, state, and federsl reporting as required by the superintdent.
Attends meetings (e.g. training, in-service activities, workshops, conferences, classes, etc.) for the purpose of increasing professional knowledge, conveying and/or gathering information required to perform functions and increasing professional knowledge.
Performs other duties as required and makes independent decisions as directed by the superintendent.

Education/Training/Qualifications:

Required: High school diploma or equivalency certificate:

Preferred: Associate/Bachelor Degree in Business Administration, Education, Communications,

Psychology, or related professional field

Required: Minimum of 3-5 years experience as an Administrative Assistant or Executive Assistant.

Preferred: Previous experience working in School Administration

Qualifications:

Working knowledge of basic office procedures and the operation of common office equipment and machines
Able to perform essential functions of the position
Strong communication (verbal, written, and e-mail) skills
Able to communicate in a professional manner with students, parents, staff, and the community
Accuracy in processing information in order to prepare spreadsheets and reports
Able to process a large volume of data in a timely manner
Able to develop effective working relationships with a diverse population of students, staff, and community members
Able to work as a team player, communicate and collaborate with building and district staff
Self-motivated with strong organizational skills
Ability to multi-taks and work with interruptions
Excellent communication and people skills
Ability to think critically, problem solve and work independently
Strong word processing, data entry, spreadsheet, and database skills
Willingness to learn new material and as needed attend professional development as needed

Compensation: Starting Salary Range: $60,000-$75,000 based on experience and qualifications.

FLSA Status: EXEMPT

Hours: Monday-Friday 8:00 am – 4:00 pm

Work Calendar: 260-day calendar

Start Date: Negotiable–must start by July 1, 2024

Job Type: Full-time

Pay: $60,000.00 – $75,000.00 per year
