Position Overview

We’re seeking an experienced Administrative Assistant & Sales Receptionist to become the communications hub of our growing company. This role combines administrative support, phone sales, appointment scheduling, and marketing initiatives to help drive our business forward. Note: this role is eligible for a competitive commission bonus after probationary period, which can bring your salary up to $25 per hour (or more)

Key Responsibilities

Administrative Support

Manage company communications, including emails and correspondence
Maintain organized filing systems and databases
Assist with document preparation and processing
Support executive calendar management and scheduling
Handle general office management duties

Phone Sales & Reception

Serve as the first point of contact for all incoming calls
Convert inbound leads into scheduled appointments
Make outbound calls to follow up with prospects
Provide exceptional customer service to clients and potential clients
Manage our phone system efficiently

Appointment Scheduling

Schedule and coordinate appointments for our sales team
Organize and optimize the sales calendar to maximize efficiency
Follow up with clients to confirm appointments
Maintain detailed records of all scheduled visits
Coordinate with the sales team to ensure smooth operations

Marketing Support

Manage and update our social media presence
Assist with online marketing initiatives
Coordinate job site marketing efforts
Help develop and implement marketing strategies
Track marketing results and prepare reports

Requirements

Previous experience in administrative support and phone sales
Proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets)
Strong social media management skills
Excellent verbal and written communication abilities
Outstanding organization and multitasking capabilities
Self-motivated with a proactive approach to problem-solving
Experience in appointment scheduling and calendar management
Ability to occasionally visit job sites for marketing purposes

Pay: $16.75 – $25.00 per hour

Expected hours: 25 – 35 per week
