Job Description
We’re looking for a compassionate and dependable Clinic Administrative Assistant to join our behavioral health team full-time. This unique role blends front desk hospitality with critical behind-the-scenes support for our administrative and billing functions—helping to create a smooth, welcoming experience for both patients and staff.
In this position, you’ll be the first point of contact for patients— checking them in and managing appointment scheduling and payment collection. You’ll also assist our care team with basic clinical tasks like taking vitals when requested by the provider. The other facet of this role involves payroll, insurance, and billing support. This will look like helping our administrative team with data entry in QuickBooks and Excel to prepare payroll, staying up to date with credentialing dates and other administrative data for providers, and ensuring we are in-network with patients’ insurance. Your presence helps set the tone for each patient’s visit and contributes to the efficient, compassionate care we strive to provide.

Key Responsibilities
Front Desk & Administrative Support:
Greet and check in patients, collect payments, and schedule appointments
Answer phone, email, and fax communications
Maintain accurate patient records and ensure documentation is up to date
Help with general office tasks and assist leadership as needed
Basic Clinical Support (Minimal):
Take and record patient vitals as needed
Call pharmacies to check on patient medication, as directed by providers
Billing & Operations Support:
Collaborate with billing team to support insurance coordination and credentialing
Prepare data in QuickBooks and Excel
Support payroll processing and basic reconciliation
Help ensure compliance and confidentiality policies
Required Qualifications
High school diploma or equivalent
Experience in a healthcare or administrative setting preferred
Basic understanding of HIPAA and handling confidential information
Proficiency in Microsoft Excel and Word; familiarity with QuickBooks is a plus
Strong organizational, multitasking, and communication skills
Self-motivated, dependable, and comfortable working with a team and with patients
Position Details
This is a full-time (40 hours per week), hourly position with a starting pay range of $18.00 – $22.00 per hour, depending on experience and qualifications. While benefits are not included at this time, we offer:

Frequent sitting, standing, and use of hands for computer work
Ability to lift up to 15 pounds as needed for office tasks/supplies

Must be able to communicate clearly and professionally (written, verbal, and via phone) with patients, team members, and stakeholders
