Role Overview
We are seeking a highly driven, articulate, and people-focused Administrative Assistant to provide high-level support to 4–5 senior executives across diverse functions.
This is a fast-paced, high-volume role requiring exceptional organizational skills, agility, and the ability to manage multiple competing priorities simultaneously. You will play a critical role in ensuring each executive’s day runs smoothly through expert calendar management, inbox coordination, travel planning, and expense reporting.
As each executive has a distinct working style and stakeholder network, the ideal candidate can quickly adapt, anticipate needs, and shift priorities while maintaining a high level of professionalism and accuracy.
Key Responsibilities
Executive & Administrative Support
- Provide day-to-day administrative support to 4–5 executives
- Manage complex, frequently changing calendars across multiple time zones
- Coordinate high-volume meetings and appointments
- Monitor and manage executive inboxes, triaging and responding to urgent requests
- Arrange end-to-end travel logistics and detailed itineraries
- Prepare, reconcile, and submit accurate expense reports
Operational Coordination
- Support Innovation Leads and Opportunities Pipeline Review (scheduling, tracking, logistics)
- Raise and manage purchase requests and purchase orders
- Monitor shared inboxes, voicemails, and executive communications
- Handle sensitive and confidential information with discretion
- Support ad hoc projects, including document coordination and process improvements
- Manage contract administration processes and maintain records
- Coordinate internal training sessions, Advisory Board meetings, and key forums
Communication & Collaboration
- Liaise with internal and external stakeholders across high-volume communication flows
- Anticipate needs and proactively recommend process improvements
- Work independently and collaboratively in a deadline-driven environment
- Contribute to a positive and high-performing team culture
Qualifications
- Proven experience supporting multiple senior executives in a fast-paced corporate environment
- Strong organizational and time-management skills with the ability to prioritize effectively
- Excellent judgment and problem-solving skills in high-demand situations
- Exceptional written and verbal communication skills
- Proficiency in Microsoft Office (Outlook, Teams, Excel, Word, PowerPoint, SharePoint, Copilot)
- High attention to detail and accuracy
- Proactive, solutions-oriented mindset
- Advanced English proficiency (C1 or above); all communication is conducted in English
