Position: Administrative/Accounting Assistant

Job Classification: Full-Time

Hours: 40-hour work week – required office hours 8 a.m. to 4 p.m. (M-F)

Reports to: Human Resources Manager/Accounting Manager

Job Description:

The ideal candidate for Administrative/Accounting Assistant will have a pleasant personality, be self-motivated, goal-oriented, work quickly with time-sensitive material, and have the ability to communicate well with people. The Administrative/Accounting Assistant handles all duties of the receptionist including: answers inquiries via phone and email, provides information regarding brewery activities, and works with vendors who supply services to Tröegs. The Administrative/Accounting Assistant is also responsible for handing accounting functions under the direction of the Accounting Manager. This individual will be also tasked with assisting in the execution of company events and meetings as well as company culture events under the We Make Tröegs/Women of Tröegs umbrella.

Administrative Responsibilities

Answer all incoming phone calls/email/fax inquiries, and route them to proper departments.
Greet guests entering the brewery office.
Sort and distribute mail by department; distribute invoices to Accounting Manager; checks to CFO.
Schedule meetings and conference rooms.
Work with technology equipment in support of on-site and virtual meetings.
Coordinate office supply purchases and maintains supplies on hand.
Take and relay messages; schedule follow-up appointments.
Work with various contracted vendors regarding office supplies, uniforms, pest control, etc. who visit the brewery on a regular basis.
Maintain company bulletin boards and electronic “bulletin boards” in Paylocity and 7Shifts.
Assist with planning and execution of annual meeting.
Participate in new hire orientation, and set up co-workers with Square, 7Shifts and Arryved software systems.
Meet with HR Manager on a regular basis to determine weekly and monthly goals.
Ensure reception area and conference rooms are tidy

Accounting Responsibilities

Perform data entry of manager coded and approved vendor invoices into the AP system.
Process AP report, print approved checks for payment, mail checks and file AP invoices after payment.
Generate list of ACH payments to vendors, email remittance then, file all documents.
Monitor and maintain AP mailbox
Review employee expense reports for appropriate documentation and manager approval prior to payment.
File customer invoices and payments (customer record keeping).
Requirements:

Skills, Attributes and Other Required Qualifications:

Knowledge of office administration and procedures.
Proficient in relevant computer software as well as office equipment.
Knowledge of Tröegs Independent Brewery and a passion for engaging co-workers and promoting company culture throughout the workplace.
General accounts payable knowledge

Education and Qualifications

High school diploma required
Previous office experience required
Strong customer service skills

Work Environment:

Tröegs Independent Brewing is a climate-controlled brewing and packaging facility. This position works out of the brewery office.

Work Schedule:

40-hour minimum work week, with occasional extended hours.
