Administrative Assistant Back Office
Location: Rincon, GA
Type: Full-time
Shift Information: First shift
Hours: 7:00-3:30 PM
Purpose of the position
The Administrative Assistant Back Office handles shipments, paperwork, and driver interactions. They update systems, schedule appointments, and assist with invoicing. This role also ensures compliance with company policies and keeps operations running smoothly.
Duties & Responsibilities:
1. Logistics administration
Greet drivers and ensure they have the correct paperwork.
Book appointments for shipments at our warehouse
Help with arranging and following up on truck transports
Log in- and outbound shipments in the system and update the planning
2. Operational administration
Update machine status and other relevant data in the Warehouse Management System (WMS).
Create and log work orders in the WMS.
3. Scheduling and Coordination
Coordinate with Client Coordinators on urgency of workorders
Provide input to operations so they can make accurate planning
Point of contact for questions on workorder and machine status
All this is always carried out taking into account our company’s quality, environmental and health policies.
Qualifications:
Previous experience in an administrative or logistics role is a plus.
Strong written and verbal communication skills.
Excellent organizational and time management abilities.
Computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Attention to detail to ensure accurate data entry in the WMS.
