Position Summary:
The Executive Assistant to the Clergy plays a vital role at Naples United Church of Christ, providing high-level administrative and organizational support to the Clergy Team, which includes the Senior Minister and the Minister for Congregational Care & Missions. This position acts as the primary point of contact for all matters relating to the Clergy Team, ensuring smooth day-to-day operations of their offices and facilitating effective communication with the congregation, staff, and wider community. The Executive Assistant must demonstrate discretion, sound judgment, and the ability to manage confidential matters. This is a full-time, exempt, salaried position with hours from 8:30 AM to 4:30 PM, Monday through Thursday and 7am-1pm on Sundays, reporting directly to the Executive Director.
Core Responsibilities:
1. Administrative and Clerical Support:
o Serve as the principal liaison between the Clergy Team, church members, staff, and external stakeholders.
o Maintain organized and accessible digital and paper filing systems for important documents and correspondence.
o Manage the calendars of the Clergy Team, ensuring efficient scheduling and coordination of appointments, meetings, and events.
o Coordinate and facilitate travel arrangements for conferences, speaking engagements, and other professional obligations for Clergy and special guests.
o Assist with clerical needs as directed by the Senior Minister.
o Monitor expenditures and make necessary adjustments to adhere to budgetary constraints.
2. Worship and Event Preparation:
o Assist with the preparation of worship materials for Sunday services, weddings, funerals, and other special services.
o Provide logistical and administrative support for church leadership meetings, retreats, and events, including document production, catering arrangements, meeting invites, reminders, and minutes recording as needed.
o Support Clergy Team members during regular and special worship services, such as Blue Christmas, Installations, and Meditation services as requested.
o Serve as a resource for planning and implementing worship services, baptisms, weddings, funerals, and memorial services, including the gathering and managing of details within Planning Center.
3. Communication and Representation:
o Represent the Clergy Team in interactions with congregation members, community leaders, and other organizations, reflecting professionalism and warmth.
o Draft and manage correspondence on behalf of the Clergy Team, ensuring timely and effective communication.
o Manage the Steeple Fellowship list.
o Maintain up-to-date prayer and devotional resources
4. Project Management and Initiative:
o Proactively identify opportunities to improve administrative processes .
o Take the lead on special projects as assigned by the Clergy Team and Executive Director.
o Provide support for Congregational Care needs, Church committees and resources, including for the Alternative Gift Market.
5. Support for Special Programs and Rituals:
o Coordinate with the Pew Crew for worship preparation and logistical support.
o Oversee resources needed for Worship including but not limited to devotional materials, Advent candles, and Lent services.
o Act as the point person for the Diaconate and assist with Communion coordination and support.
6. Church Development
o Serve as the primary staff liaison to the church’s Development Committee, facilitating communication and collaboration between leadership, volunteers, and stakeholders.
o Work closely with committee members to develop and implement fundraising strategies, donor engagement plans, and sponsorship opportunities.
o Provide guidance and support to committee members in donor cultivation, grant opportunities, and community partnership development.
Other Duties as Assigned
Perform additional tasks and responsibilities as directed by the Executive Director or
Clergy Team to support the overall mission and operations of Naples UCC.
Key Knowledge, Skills, and Attributes:
· Technical Proficiency:
o Advanced knowledge of office equipment and systems, including computers, multi-line phones, copiers, scanners, and postal machines.
o Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and the ability to learn church-specific software and technologies.
o Experience with Planning Center and other church-related administrative tools is preferred.
· Organizational Excellence:
o Demonstrated ability to coordinate, prioritize, and manage multiple projects with precision and attention to detail.
o Strong problem-solving skills and capacity to deliver results under pressure.
· Interpersonal Effectiveness:
o Outstanding verbal and written communication skills with a strong command of spelling, grammar, and formatting.
o Relationship-building aptitude, fostering collaboration with all levels of church staff, leadership, and congregation.
o High emotional intelligence, self-awareness, and the ability to work both independently and within a team.
Qualifications:
· Bachelor’s degree or equivalent academic credentials.
· Five (5) years of administrative experience, preferably in a church or non-profit setting.
· Proven ability to work with diverse populations, demonstrating cultural sensitivity and inclusiveness.
· Self-starter with a collaborative and collegial approach to team dynamics.
· Commitment to confidentiality and ethical conduct.
· Successful completion of background checks and drug screening.
