The Administrative Assistant provides support to the Housing Counseling Department. This is a highly responsible administrative support position. The employee in this position must exercise good judgment, be able to communicate both orally and in writing. Must demonstrate courtesy and tactfulness particularly in proper disposition of problems, receiving incoming telephone calls and visitors. Must be organized, able to delegate and supervise volunteer clerical staff as required. Must have a highly technical level of computer skills.

Qualities and Competencies:

· High school diploma and three (3) to five (5) years of secretarial experience.

· Capability in maintaining confidentiality of borrower communications and information.

· Strong verbal communication and interpersonal skills, including the ability to engage with individuals facing financial stress and respond clearly to questions with information that is clear to the client.

· Ability to effectively communicate with third parties such as utility companies, creditors or mortgage service companies.

· Solid written communication abilities in order to read and interpret written information and write effective business communications needed.

· Strong organizational and time management skills including the ability to prioritize deadlines and perform multiple tasks and projects simultaneously with limited supervision.

· Outcome driven with a strong client focus.

· Energetic, fun and interested in working in a fast-paced and collegial environment.
Ability to build professional relationships with community partners.

· Computer literacy, including the ability to use the internet and e-mail and proficiency with the Microsoft Office suite of programs. Experience with client management software is a plus.

· Ability to quickly learn new technology including web based applications.

Duties and Responsibilities

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

· Receive telephone calls for Housing Counseling office.

· Greet office visitors and clients.

· Type letters, memoranda, reports, proposals, spreadsheets and other correspondence with proper spelling, grammar and articulation.

· Receive, sort and distribute incoming mail.

· Data entry for all systems for Housing Counseling Department and assist Director with reporting.

· Organize and file Counselors’ files and paperwork.

· Compose, type, follow-up and/or answer routine requests for information.

· Assist in the day-to-day operations to support Housing Counseling staff. This includes but is not limited to: mailing information verification forms, tracking and compiling reports on a monthly, quarterly and/or annual basis for funders as needed.

· Assist Housing Counselors with computer system functions associated with the counseling session and client record, including working with internal and external systems and client data management systems. These functions include but are not limited to collecting, tracking and reporting required data.

· Answer requests for housing counseling services and information as needed.

· Schedule client appointments for Housing Counseling staff.

· Obtain program training and certification requirements within agency and housing contract required timeframes as business needs dictate.

· Maintain flexible work schedule, including evening and weekend hours and branch location to respond to business and client need.

· Support branch location operations by coordinating maintenance, and miscellaneous administrative functions.

· Represent HACE at workshops and community events as needed during weekends and evenings.

· Maintain regular and predictable attendance.

· Perform special projects and/or assignments as directed by management

· Keep the lobby area and office neat and clean

Conduct outreach and community survey activities within HACE’s service area.

Travel
Position is based in one or more of HACE office locations and may require travel within city, state and nationally. Candidate must be able and willing to travel to locations within agency’s full service area. Travel may also be required to alternate locations for workshops, and/or seminars.

Job Type: Full-time

Pay: $38.00 – $41.00 per hour
