The Administrative Assistant will play a vital role in enhancing productivity and supporting various administrative functions within the organization through double-checking accuracy of administrative processes, revising administrative workflows for improvement, and implementing efficient administrative systems. Financial Management & Bookkeeping

Manage confidential financial data using QuickBooks
Process and track ACH transfers and revenue
Perform monthly bank reconciliations
Process contractor payments and timesheet management
Maintain secure financial records and documentation
Handle expense tracking and categorization

Data Organization & Document Management

Review and edit confidential business documents
Maintain secure digital and physical filing systems
Manage document scanning and digitization projects
Create and update internal procedures and systems
Ensure proper version control and data security
Organize and process large volumes of financial documents

Administrative Support

Manage confidential client database and CRM systems
Handle sensitive client communications and scheduling
Process mail and correspondence
Manage business calendar and appointments
Coordinate with vendors and contractors
Prepare business documents and reports

Required Qualifications

2+ years bookkeeping experience (preferred)
3+ years administrative experience (preferred)
Proven track record maintaining strict confidentiality
Proficiency in QuickBooks
Strong organizational and time management skills
Excellent written and verbal communication
Exceptional attention to detail
Reliable transportation to Littleton, CO location

Technical Skills

QuickBooks expertise
Ability and willingness to learn industry specific software
Microsoft Office Suite proficiency
CRM software experience
Digital filing and organization systems

ACH payment processing experience
