Position Summary
We have an immediate opening for a Part-Time Administrative Assistant. In this role, you will support our onsite team with general office operations and administrative tasks. You will support team members with clerical duties such as schedule management, data entry, and document preparation in addition to light upkeep of the office.
To be successful, you’ll need to be detail-oriented and initiative-taking. We need a broad thinker who can make suggestions, take constructive feedback with a good attitude and without pushback, and then go out and personally execute with diligence. If you like ensuring office operations run smoothly and efficiently, we’re probably a good fit.
This position is part-time (20 hours a week) and based in Lakewood, CO.
Job Duties
Serve all stakeholders with integrity, humility, and joy while consistently modeling the importance of both task competency and relationships;
Participate in Company events, activities, and meetings with a smile and an infectious, great attitude;
Perform general administrative duties, including answering phones, managing correspondence, and filing documents;
Assist with scheduling meetings, preparing meeting rooms, and coordinating office events;
Support student testing efforts by scheduling locations, ensure materials are on location, maintain accurate testing records, and resolve any issues quickly and professionally;
Coordinate with IT to ensure computers and equipment are available, updated and ready to be used for student testing;
Support testing team with creating testing kits and corresponding with testing stakeholders as needed;
Handle incoming and outgoing mail, including trips to the post office and other buildings, as needed;
Run routine errands such as, including but not limited to, picking up lunch and dropping off items at event locations and personal residences;
Maintain office cleanliness by tidying common areas, restocking supplies, and ensuring an organized workspace;
Set up and replenish office snacks and beverages to create a comfortable environment for employees and guests;
Support team members with basic clerical tasks such as data entry and document preparation;
Other administrative and light office management tasks as needed; and
All other duties as assigned.
Essential Knowledge, Skills, and Abilities
Strong interpersonal skills with the demonstrated ability to consistently lead and serve others with humility, kindness, empathy, and joy;
Excellent communication skills, both written and verbal;
Strong organizational and multitasking skills;
Proficiency in Microsoft Office (Word, Excel, Outlook) and basic office technology;
Ability to lift light packages and manage small office tasks that require movement (e.g., restocking supplies, setting up snacks);
Reliable, professional, and proactive in handling office needs;
Ability to work in a fast-paced, high energy, team environment and juggle multiple tasks; and
Strict attention to detail.
Qualifications
High School Diploma or equivalent required; Bachelor’s degree preferred;
Minimum of three (3) years experience working as an Administrative Assistant or similar role required;
Experience in education industry preferred;
Ability to work onsite in our Lakewood, CO office required;
Strong experience with Mac OS, Google Workspace, and Asana preferred; and
Ability to pass required background checks.
