Role Description This is a full-time hybrid Administrative Assistant role based in Austin, TX, with flexibility for part-time work from home. The Administrative Assistant will manage daily office operations, including scheduling meetings, maintaining calendars, organizing travel arrangements, and coordinating internal and external appointments. This role will handle phone calls, greet visitors, respond to general inquiries, and route communications to the appropriate team members in a timely and professional manner. The Administrative Assistant will support executives with document preparation, report formatting, filing, data entry, and maintaining organized digital and physical records. The position also includes preparing meeting agendas, taking minutes, assisting with expense reports, and supporting special projects to ensure smooth and efficient team operations.

Qualifications

  • Strong Administrative Assistance and Clerical Skills to manage calendars, records, and general office operations efficiently.
  • Professional Phone Etiquette and Communication abilities to handle calls, emails, and in-person interactions clearly and respectfully.
  • Experience with Executive Administrative Assistance, including scheduling, document preparation, and confidential information handling.
  • Proficiency with office software (e.g., Microsoft Office or Google Workspace) and basic data entry tools.
  • Excellent organizational skills, attention to detail, and the ability to prioritize multiple tasks and deadlines.
  • Ability to work independently and collaboratively in a hybrid environment, showing reliability and accountability.
  • Previous experience in administrative or office support roles preferred; experience in energy, industrial, or technical environments is a plus.
  • High school diploma or equivalent required; additional coursework or certification in office administration is beneficial.
