General Description

The Administrate Assistant performs duties to provide advanced secretarial and administrative support to the Director, Managers, and Supervisors. This position functions as the departmental Training Coordinator, Badging Official, Purchasing Requisitioner, and Technical Documentation Administrator.

How You Will Fulfill Your Mission

Serve as the Departmental Training Coordinator: ensure all personnel meet and stay compliant with the Training Need Assessment (TNA) requirements for their position. Schedule all required training and medical physicals, issue training certifications, distribute training and medical certification cards, and maintain electronic training folders for all personnel.

Serve as the Departmental Purchasing Requisitioner: enter MAXIMO Material Request (MR) and Costpoint Purchase Request (PR) for all required materials and equipment. Maintain and order office supplies as necessary in accordance with NASA and KSC reuse and green purchasing.

Serve as the Departmental Badging Official: monitor NASA smartcard expirations and submit renewal requests, issue vendor badges, submit visitor passes, and submit NAMS area access requests for all personnel.

Serve as the Departmental Technical Documentation (TechDoc) Administrator: monitor review due dates for internal documents, send notifications, review revised documents for spelling, grammar, and formatting, route for approval signature, and upload to TechDoc.

Attend meetings and take, transcribe, and distribute minutes as required.

Maintain electronic calendars for assigned personnel, arrange and schedule meetings and appointments, and secure and set up meeting equipment if needed.

Serve as the Record Management Liaison for Company internal records and assist in departmental internal administrative duties for tracking, files, records, training, certifications, and other general administrative matters.

Organize, maintain, and coordinate the computerized and manual files, records, schedules, inventories, libraries, and databases, for multiple departments. Back up and purge systems as required and annotate files.

Maintain training and travel forms for assigned personnel, process registration payments, and assist personnel with submitting expense reports as required.
