Job Title: Financial Department Administrative Assistant
Location: 420 State Rd, South Deerfield

Reports to: Controller

Job Summary:

We are seeking a highly organized and detail-oriented Financial Department Administrative Assistant to join our dynamic team. The ideal candidate will have a strong background in finance support, with proven experience using QuickBooks and relevant business systems. Knowledge of the cannabis industry is a plus. This role involves supporting the finance team to ensure smooth and efficient operations.

Key Responsibilities:

Financial Support:

Manage accounts payable and receivable.
Reconcile bank statements and financial records.
Assist in the preparation of financial reports and budgets.
Perform data entry and maintain accurate financial records in QuickBooks and other relevant programs.
Handle invoicing, billing, and payment processing (as part of AP/AR).
Procure necessary supplies for the team on a weekly basis.
Maintain W9 files for vendors.

Administrative Support:

Process sales orders and ensure timely invoice delivery to customers.
Maintain and update customer databases and financial records.
Prepare reports as needed.

Customer Service:

Address customer inquiries and resolve issues promptly.
Assist customers with product information and order tracking.
Build and maintain strong relationships with customers and wholesale partners.

Systems & Data Management:

Utilize relevant business systems to manage orders and inventory.
Ensure accurate and timely entry of information across all platforms.

Qualifications:

Proven experience as an Administrative Assistant in a financial department or a similar role.
Proficiency in QuickBooks is mandatory.
Strong organizational and multitasking skills.
Excellent communication and interpersonal abilities.
Detail-oriented with a high level of accuracy.
Ability to work independently and collaboratively within a team.
Proficiency in Microsoft Office Suite (Excel, Word, Outlook).

Education:

Bachelor’s degree in Finance, Accounting, Business Administration, or a related field preferred.

Job Type: Full-time

Pay: $20.00 – $25.00 per hour

Expected hours: 40 per week
