JOB SUMMARY

Perform a variety of administrative and clerical duties. The Administrative Assistant’s main duties include supporting our different divisions/departments, employees, and daily office needs as instructed by the manager.

MINIMUM QUALIFICATIONS

Requires knowledge of office procedures and word processing software at a level generally acquired through completion of an associate degree in a business or office-related discipline OR 3+ Years of experience providing administrative support.

OTHER REQUIREMENTS

Friendly, customer-centric attitude with strong interpersonal and organizational skills.

Work (ed) in a similar industry and/or position.

JOB RESPONSIBILITIES

Greeting and making a professional and courteous first impression with customers and visitors.
Answering and transferring phone calls to the appropriate party and handling queries and complaints via phone, email, and general correspondence.
Managing the front desk and performing basic support tasks (sorting and delivering mail, ordering and ensuring all necessary supplies are stocked and organized, etc.)
Assist with contract and/or subcontract review, corrections, and management as needed.
Assist with the preparation of bid documents.
Assist with documentation management, including filing, scanning, and maintaining any necessary logs and documents.
Assist with document and query retention processes.
Compose and/or edit letters, memos, reports, procedures, etc., as required.
Act as a liaison between the supervisor and others, such as other departments, external contacts, clients, etc. Such liaison may be required to arrange meetings, complete projects, coordinate work, and maintain working relationships.
Oversee and/or process day-to-day administrative items per supervisor’s authorization.
Prepare department-specific reports as requested.
Back-up Project Coordinators as needed.

Some OT may be required.

Performs other tasks and special projects as assigned.
