Hours: 9am – 5pm (Your time zone), Monday through Friday

Location: Remote (U.S. based preferred)

About the Role

We’re looking for a sharp, highly organized Administrative Assistant to join our team remotely. While the actual workload will start at around 20 hours/week, you will be expected to be available by phone from 9am to 5pm for communication and support as needed. The role is expected to grow into a full 40-hour/week position over the next 4-6 months.

This is a salaried role starting at $40,000/year

We’re seeking someone looking for long-term growth, eager to work independently but collaboratively in a remote, highly flexible environment.

Key Responsibilities

As our Administrative Assistant, your duties will evolve, but initial tasks will include:

Creating contracts and onboarding documents (via DocuSign)

Assisting in processing new vendors and onboarding new CAM members

Reviewing and confirming Eventbrite events are ready to go live

Creating tracking links in Eventbrite and distributing to vendor members

Managing and updating vendor email lists

Supporting the CAM U Loyalty program (StampMe) and CAM Member ID program

Communicating with vendors and course presenters

Ensuring hosts receive presentation materials in advance

Sending text messages and emails to CAMs and Vendors

Scheduling meetings, responding to select emails for executives

Data entry and uploading receipts

Preparing and maintaining expense reports

Assisting with trade show vendor coordination and communications

Maintaining and cleaning up CAM email lists using spreadsheets and Eventbrite subscriber lists

Sending registration/attendance lists to vendors on schedule

Post-event credit follow-up with course presenters and CAMs

Submitting and tracking courses for state approval

Booking venues and restaurants (eventually)

Scheduling vendor-led classes (eventually)

Who You Are

Tech-savvy and comfortable with tools like Google Drive, spreadsheets, and calendar apps

Highly organized, able to multitask and follow through with minimal supervision

Excellent written and verbal communication skills

Friendly, professional, and responsive — especially when communicating with our CAM customers and vendor members via email and occasionally by phone

Able to work with both structure and flexibility

Interested in growing with the team long-term

Not required… but preferred:

Experience in the Community Association Industry

Holding a CAM (Community Association Manager) license

Customer service experience — especially in a remote or professional services environment
