First Heritage Mortgage Services (a subsidiary of American Heritage Credit Union) is currently searching for an Executive Administrative Assistant to support our Chief Executive Officer. This position is based out of our office in Feasterville-Trevose, PA.
This position provides professional, high-level administrative support to the CEO that includes a wide range of administrative duties to be handled with confidentiality and discretion. Facilitate the completion of CEO duties by scheduling and providing services as necessary, and by interfacing with Board Members, management, members, staff, business associates, vendors, and visitors to First Heritage Financial, LLC. Prepare reports, correspondence, manuals, spreadsheets, and all other communications utilizing a broad range of computer applications.
RESPONSIBILITIES INCLUDE:
Complete a variety of administrative duties for the CEO including but not limited to: Managing calendar for appointment booking; Keeping track of all conferences, board meetings, and charity events, etc. requiring the CEO’s attendance; Scheduling travel plans; Preparing reports and letters/memos.
Make arrangements for Annual Meeting, Annual Strategic Planning session, executive and Board meetings, and various internal/external meetings and events, including travel arrangements for attendees and coordination of food and other hospitality-related duties as needed.
Prepare agendas or presentations, attend meetings with the CEO (including First Heritage Board of Director meetings), and take, transcribe, and distribute notes or minutes.
Screen visitors, phone calls, emails, or physical mail, responding to inquiries independently and determining within established guidelines if executive action is required. Refer routine matters to appropriate parties for action and follow up to ensure proper disposition. Keep CEO advised of member-related issues within defined parameters.
Communicate on behalf of the CEO with various management levels to deliver messages clearly and accurately. Compose emails and respond to correspondence/questions from the Board of Directors.
Perform specialized or confidential administrative duties, including researching data and preparing reports, preparing annual budget, and assembling strategic planning materials.
Work with CEO and senior management team daily on all required correspondence, ad hoc projects, etc., as well as on the ongoing process of policy development and documentation.
Prepare and submit expense reports on behalf of the CEO.
Serve as the point of contact for office duties including office maintenance and supplies.
Maintain confidentiality of sensitive information.
EXPERIENCE:
Three to five years of secretarial experience at the executive level.
Requires education equivalent to a four-year high school education, plus some additional post-secondary technical coursework in the secretarial sciences or the equivalent work experience.
Professional, well-developed interpersonal skills – verbal, written, and presentation – necessary for effectively and courteously communicating with and servicing the CEO, Board of Directors, management, members, employees, and vendors while projecting a positive image as a representative of First Heritage Financial, LLC.
Excellent organizational and office skills and attention to detail.
Advanced proofreading skills.
Proven ability to work under pressure, meet deadlines, and be flexible in working on multiple tasks simultaneously.
Ability to communicate well at all levels and keep information secure and confidential.
Must be a self-motivated achiever able to work both independently and collaboratively.
Considerable judgment is required. Must analyze complicated factual situations, apply functional principles and develop solutions.
Proficiency in using all Microsoft Office software products at an advanced level: Word, Excel, PowerPoint, Teams and virtual meeting platforms (eg. Zoom); Ability to work with technology such as iPads and laptops.
