Purpose of Position

The Administrative Assistant is responsible for providing administrative support to the TANF department. This position will be responsible for performing clerical functions to assist the department in delivering high quality services. This position will assist the Social Services Director and staff with projects and will provide oversight to maintain office efficiency.

Essential Duties, Functions & Responsibilities

Provides complex and confidential administrative assistance to department staff.

Schedules and arranges meetings, trainings, including set-up, notification, and agenda creation, etc.

Maintains calendars for delivery of program services, mailings list for clients, community partners, and vendors.

Prepares, organizes, orders, and distributes program materials for events such as summer camps and Head Back in Style.

Prepares correspondence such as reports, minutes, agendas, memos, forms, and directories.

Processes and tracks department supplies, and processes invoices using appropriate software.

Answers and directs department calls efficiently.

Establishes and maintains filing systems for department information and files.

Performs other duties as assigned.

Minimum Mandatory Qualifications

Experience

Two (2) years of administrative or office support experience required, three years preferred.

Education

High School Diploma or equivalent (GED) required.

Ability to work efficiently and effectively when in high-pressure situations and under deadlines.

Ability to maintain strict confidentiality and exercise discretion, particularly regarding sensitive or confidential personnel or organizational matters.

Ability to establish and maintain strong interpersonal relationships with employees at all organizational levels.

Ability to understand and apply applicable Federal and Tribal laws, regulations, policies, procedures, and program standards.

Ability to interact in an honest, trustworthy, and respectful manner with FIGR Tribal Citizens, Tribal Council and other officials, employees, visitors, and vendors.
