About The Role
We are seeking a detail-oriented and motivated Administrative Assistant to join our Government Contracts & Services team in a fully remote, full-time capacity. This role will provide critical support to the Director of Government Contracts & Services and the Contracts Manager, assisting with day-to-day administrative tasks, project-based assignments, and contract management processes.
The ideal candidate is highly organized, deadline-driven, and comfortable managing multiple priorities in a fast-paced environment, with strong written communication skills and a proactive attitude toward collaboration and problem-solving.
Location: Remote (U.S.-based only)
Employment Type: Full-time (40 hours/week, Monday–Friday)
Responsibilities
Track, organize, and respond to Requests for Quotations (RFQs) and proposal-related tasks.
Manage electronic file systems for RFQs, proposals, and contracts.
Coordinate with vendors to establish new telephonic accounts for clients.
Send onboarding communications to new agencies and maintain updated contact records.
Collaborate with internal departments to gather information during solicitation Q&A periods.
Prepare and submit Freedom of Information Law (FOIL) requests for lost proposals.
Request and compile rate quotes from executives or department heads for submissions.
Support proposal creation, formatting, and submission processes.
Update and maintain contract trackers, internal databases, and reporting spreadsheets.
Assist with ad hoc projects such as outreach campaigns and internal audits.
Qualifications
1–3 years of experience in an administrative or support role.
Bachelor’s Degree required.
Advanced proficiency with Microsoft Office Suite (Excel, Word, Outlook, PowerPoint, Teams).
Strong attention to detail and accuracy in data entry and document formatting.
Excellent organizational and time management skills, with the ability to meet strict deadlines.
Exceptional business writing and email communication skills.
Ability to work independently while collaborating effectively across departments.

Annual compensation between $40,000 to $48,000, commensurate with experience, with performance-based bonus potential.
