Role Description

This is a full-time, on-site Administrative Assistant role as part of our Project Administration Department based in Bedford, NH. The Administrative Assistant will provide day‑to‑day office support, month‑end closing assistance, company‑wide accounts receivable collections, maintenance of certificates of insurance, and project closeouts, working closely with Project Administration and various Managers across Normandeau’s US locations.

Qualifications

  • Strong Administrative Assistance and Clerical Skills, including filing, data entry, document preparation, and general office support.
  • Excellent Phone Etiquette and Communication skills for interacting with clients, visitors, and internal team members in a professional manner.
  • Proficiency with office software (e.g., Microsoft Office or similar productivity tools) and comfort with basic database or record‑keeping systems.
  • Strong organizational skills, attention to detail, and the ability to manage multiple tasks and deadlines in a fast‑paced environment.
  • Ability to work collaboratively with diverse teams, maintain confidentiality, and demonstrate reliability and punctuality.
  • High school diploma or equivalent required; additional coursework or an associate degree in business, administration, or a related field is a plus.
  • Prior administrative experience in an accounting, professional services, environmental, or consulting setting is beneficial but not mandatory.

Candidates should be authorized to work in the U.S. without company sponsorship.

Salary

$17.00 – $20.00 per hour. Hourly Rate is negotiable with higher levels for experience.

Hours

Monday – Friday 8:00 a.m. – 4:30 p.m.
