The Onsite Administrative Assistant/Receptionist is responsible for assisting with all day-to-day operations and maintenance of the building they work out of. They will be onsite 5 days per week, in our Riverdale, NY office. The Onsite Admin works closely with the Associate Account Executive and Supervisor of the building as well as the Shareholders/Unit Owners who reside there.
Salary Range
$45K – $55K
Responsibilities
The Onsite Admin is responsible for the following:
- Maintain lists for buildings for storage units/bike storage/gym/sublet/parking, if applicable
- Keep track of homeowners’ insurance and follow up with shareholders if need be
- Draft memos to be sent to residents regarding notices: water shut down, elevator work/repair, etc.
- Updating board minutes for review and archiving final copy
- Mail out notices – email to residents
- Work with Accounting on billing
- Prepare for Annual Meetings & Board Meetings which could include: paperwork, ordering food & chairs, managing Zoom attendance if virtual, updating Board Lists post meeting, etc.
- Schedule interviews for building employees, review employment application
- Work with Account Executive on invoices for the buildings to be approved
- Field questions from residents
- Get monthly Arrears Letters sent out (in conjunction with the Account Executive)
- Notify shareholders of chargebacks to their accounts
The Onsite Admin will also assist with other administrative tasks as necessary, including but not limited to:
- Answering phone calls
- Addressing questions from residents who come in person to the office
- Reserving Conference Rooms for meetings
- Setting up conference calls and rooms as needed
- Print, process and mail regular communication
- Provide administrative support as needed for complex, deadline-driven projects, including: assisting with preparation of correspondence and materials; tracking and handling reimbursements and expenses; compiling documents and materials in preparation for meetings; copying, scanning and printing documents
- A working knowledge of other key department functions
- Attend weekly meetings as needed
Qualifications
- Bachelor's degree or equivalent experience in Administrative Support
- 2+ years of professional experience in a support role or similar, ideally from a services-oriented business
- Familiar with Microsoft Office and other Technology programs
- Excellent written and verbal communication skills
- Ability to multi-task, organize, and prioritize work
