Become an Executive Assistant at Elite Lighting and build a better tomorrow. Elite Lighting is a manufacturer of LED lights headquartered in the City of Commerce, Los Angeles. The successful candidate will perform administrative and clerical functions for the CEO.
As an Executive Assistant, your responsibilities include, but not limited to:
Organizing and maintaining CEO’s office including Maintaining and updating calendars, initiating, coordinating, and arranging all his meetings, events and conferences.
Utilizing computer applications such as Microsoft Word, Excel, and PowerPoint to generate reports and prepare documents/materials.
Reviewing and processing incoming/outgoing mail and email, maintaining files, responding to or routing external and internal customer calls/inquiries.
Preparing routine and confidential correspondence and reports related to the work of CEO office, providing back-up coverage for other Administrative Aides in the work location.
Generating and distributing policies, emails, and reports as needed.
Creating, implementing, and monitoring programs as directed by the ownership, and seeing the programs through to completion.
Creating and implementing new technologies, policies, training, templates, and strategies as needed and approved by the CEO.
Scheduling, tracking, and providing support materials for meetings and project events.
Writing various copy options, which may be presented to the clients.
Creating, editing, and formatting written correspondences, presentations, and reports with accurate typing and spelling and thorough knowledge of grammar, sentence structure, and punctuation using tools such as Microsoft Word, Excel, and PowerPoint.
Responding to and routing internal and external customer calls/inquiries as well as receiving visitors.
Processing, submitting, and tracking supply orders and repair/maintenance orders.
Working on multiple concurrent assignments in an environment with frequent interruptions, changing priorities, and tight operating deadlines.
Performing other responsibilities and duties as assigned.
Requirements:
Bachelor`s Degree (Business Administration preferred)
Three or more years of experience performing advanced administrative, secretarial, and/or clerical functions.
Ability to multitask and work in a fast-paced environment.
Excellent written and verbal communication skills.
Excellent technical skills; proficiency in MS Office and Outlook.
Be highly creative and imaginative.
Attention to detail and accuracy in all work.
Be able to work under pressure.
Job Type: Full time in office (7:30 AM to 5:30 PM with overtime)
