Position Overview

This is a full-time, in-person position as an Executive Assistant to the CEO and COO, with additional responsibilities as a Marketing Assistant. The ideal candidate is a motivated, detail-oriented, and organized individual with strong communication and writing skills. The role includes providing comprehensive support to the C-suite, managing scheduling, assisting in project coordination, and handling the organization of marketing tasks. It requires someone with strong initiative and drive, capable of taking ownership without needing to work long hours.

The position offers a unique opportunity to grow within a multi-disciplinary studio environment with projects across the country.

Key Responsibilities

Provide full administrative support to C-suite executives, including organizing and following up with the C-Suits to-do list, preparing documents, and assisting with project coordination.
Collaborate with the Operations Team (Finance, HR, Office Management, and Communications & Business Development).
Support marketing efforts.
Assist in implementing and improving office policies and procedures for greater efficiency and compliance.

Qualifications

Required:

Bachelor’s degree.
3-10 years of experience, preferably in law or industries requiring strong writing skills.
Demonstrated ability to manage multiple priorities and maintain effectiveness in a fast-paced environment, including proactive follow-through on diverse tasks.
Self-motivated and proactive individual (“go-getter”) with excellent organizational skills and the ability to manage calendars, to-do lists, and communication across various internal teams (marketing, HR, Design, and office operations, etc.).
Excellent written and verbal communication skills, including grammar, spelling, and punctuation.
High discretion and sensitivity when handling confidential information.
Ability to work in a company that relies heavily on Standard Operating Procedures.

Preferred but not Required:

Bachelor’s Degree in English, Philosophy, History, or any writing-heavy major.
Experience or interest in marketing within architecture or interior design.
Experience with Google Workspace, Monday.com, or QuickBooks.
Ability to write for various media with an analytical and conceptual approach.
Strong research, proofreading, and project management skills.
Experience in audio/visual production management.
Proven ability to produce high-quality work.
Portfolio of writing samples.

Job Requirements

Physical Requirements: The position requires the ability to drive a car every week day, and operate a computer and other office productivity machinery, such as a calculator, copy machine, scanner, and printer. The position also requires the ability to travel to and from the office and meet with clients and colleagues outside of the office.

This allows us to collaborate more effectively, share ideas more easily, and build stronger relationships. As a result, we do not offer and are not planning to offer a telework program or remote or hybrid positions.

Pay: $60,000.00 – $80,000.00 per year
