Job Summary

  • The Administrative Assistant provides administrative and clerical support to faculty, staff, students, and department leadership. This role ensures the efficient operation of the department by managing office activities, coordinating schedules, maintaining records, and assisting with student and faculty needs.

Key Responsibilities

  • Provide administrative support to department heads, faculty members, and staff.
  • Manage calendars, schedule meetings, and coordinate appointments.
  • Prepare, edit, and distribute correspondence, reports, and presentations.
  • Maintain student, faculty, and departmental records in accordance with university policies.
  • Respond to inquiries from students, parents, faculty, and external stakeholders.
  • Assist with student admissions, registration, enrollment, and graduation processes.
  • Coordinate departmental events, workshops, seminars, and meetings.
  • Process purchase orders, invoices, expense reports, and other administrative paperwork.
  • Maintain office supplies and coordinate facility and equipment needs.
  • Ensure compliance with institutional policies, procedures, and confidentiality requirements.
  • Support special projects and other duties as assigned.

Qualifications

Education

  • Associate's degree or Bachelor's degree in Business Administration, Office Administration, or a related field preferred.

Experience

  • 1–3 years of administrative or office support experience, preferably in a higher education environment.

Skills

  • Strong organizational and time-management skills.
  • Excellent verbal and written communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to manage multiple tasks and deadlines effectively.

Working Conditions
