Job Description
Houston Forensic Science Center, Inc. (HFSC), is an independent organization created by Houston Mayor Annise Parker and the Houston City Council to provide forensic science services formerly delivered by the Houston Police Department. HFSC has been officially registered as a Texas Local Government Corporation* since June 26, 2012.
HFSC is now seeking a full time Administrative Assistant – Research, Technology and Development Division
Position Summary
Reporting to the Director of Research, Technology and Development (RTD), the Research and Technology Administrative Assistant provides both routine and complex administrative, operational, and data management support to the Director of RTD. This position is responsible for coordinating administrative activities, maintaining accurate records and databases, preparing reports and correspondence, analyzing data, and providing technical assistance to support divisional operations and strategic initiatives.

Specific duties of the Research and Technology Administrative Assistant may include, but are not limited to:
- Perform a broad range of routine and complex clerical, administrative, and operational support duties while maintaining the highest standards of integrity, professionalism, and confidentiality.
- Prepare, edit, and distribute reports, presentations, correspondence, and other business documents.
- Coordinate and manage the flow of information and communications within the division and with internal and external stakeholders.
- Coordinate vendor activities, monitor contract administration, and assist with procurement processes in accordance with organizational policies and procedures.
- Participate in continuous performance improvement initiatives that support divisional goals and operational efficiency.
- Assist in the development, implementation, maintenance, and monitoring of departmental policies, standards, procedures, and best practices.
- Provide comprehensive administrative support throughout the grant lifecycle, including both pre-award and post-award activities.
- Assist with grant proposal development, budget preparation, procurement activities, project coordination, progress reporting, and maintenance of grant records.
- Monitor grant documentation to help ensure compliance with applicable funding requirements, organizational policies, and reporting deadlines
- Collect, review, compile, analyze, and maintain complex data to support grants, projects, operational reporting, and management decision-making.
- Coordinate and support special projects, strategic initiatives, meetings, and other assignments as needed.
- Perform other related duties and responsibilities as assigned.
Required Experience
MINIMUM EDUCATIONAL REQUIREMENTS
- Bachelor's degree in Business Administration, Public Administration, Accounting, Finance, or a related field is required.
- Direct related job experience may be considered as a substitute for college degree.
Minimum Experience Requirements
- Previous experience in an administrative role is required.
- Ability to read and interpret technical data and verbiage is a plus.
- Demonstrated experience in grant administration is strongly preferred.
- Experience in data entry and database management is a plus.

- Demonstrated proficiency in Microsoft Office Suite products (Word, PowerPoint and Teams)
- Advanced proficiency in Microsoft Excel, including formulas, pivot tables, data analysis, and reporting
- Strong organizational and interpersonal skills
- Excellent communication skills, both written and oral
- Adept at working in collaborative, team-oriented settings
- Ability and willingness to learn new technologies and methodologies as needed
- Demonstrated experience in proactively managing multiple priorities and deadlines effectively
- Excellent problem-solving, critical thinking and project management skills
