We are looking for an organized Administrative Assistant to support daily office operations for a real estate and property team in Brooklyn, New York. This Long-term Contract position is ideal for someone who communicates professionally, manages routine administrative tasks efficiently, and helps maintain a welcoming and productive office environment. The role involves handling front-desk interactions, responding to incoming calls, and keeping records accurate through timely data entry and general administrative support.
Responsibilities:
• Manage day-to-day administrative activities to keep office operations running smoothly and efficiently.
• Respond to inbound phone calls professionally, direct inquiries appropriately, and relay messages in a timely manner.
• Welcome visitors and provide front-desk support that creates a courteous and organized office experience.
• Prepare, update, and maintain records, files, and other office documentation with a high level of accuracy.
• Enter and verify data in internal systems to ensure information remains current and reliable.
• Support staff with scheduling, correspondence, and other routine clerical tasks as needed.
• Monitor general office needs and assist with administrative coordination across the team.
• Prior experience in administrative support, office coordination, or a similar clerical role.
• Ability to manage inbound calls and interact effectively with clients, visitors, and team members.
• Strong data entry skills with consistent attention to detail and accuracy.
• Comfortable performing receptionist and front-desk responsibilities in a detail-oriented setting.
• Proficiency with standard office practices and general administrative procedures.
• Effective written and verbal communication skills.
• Strong organizational skills with the ability to handle multiple tasks and priorities.
