Job Description:

A client of Insight Global is seeking an Office Manager to support daily operations within a collaborative architecture and design environment. This individual will play a critical role in creating a professional, organized, and welcoming workplace that reflects the high standards and attention to detail the firm brings to its projects and client relationships.

The ideal candidate is proactive, highly organized, service-oriented, and takes pride in ensuring the office runs smoothly. This is a hands-on role for someone who enjoys being the go-to person for office operations and creating an exceptional experience for employees, clients, and visitors.

Responsibilities

  • Serve as the primary point of contact for day-to-day office operations, ensuring a polished and professional environment.
  • Manage office and kitchen inventory, coordinate supply orders, and maintain organized common areas and conference rooms.
  • Coordinate facility-related needs, including building maintenance requests, parking, vendor management, and office services.
  • Oversee office equipment, including printers, shredders, and large-format printing resources.
  • Support company leadership with administrative tasks such as license renewals and special projects.
  • Prepare conference rooms and common spaces for meetings, client visits, and events.
  • Proactively identify and resolve operational issues while providing exceptional support across the office.

Qualifications

  • 2+ years of experience in office management, administrative support, hospitality, executive support, or a related field.
  • Strong organizational, multitasking, and problem-solving skills.
  • Exceptional attention to detail and ability to anticipate needs.
  • Excellent communication and customer service skills.
  • Experience coordinating vendors, facilities, and office operations.
  • Proficiency with Microsoft Office Suite.
  • Ability to work independently and take ownership of responsibilities.
  • Notary Public certification is a plus, but not required.
  • Experience supporting a professional services, architecture, engineering, or design environment is preferred.
