Program Description:The Hazard Mitigation Section consists of a team of dedicated and passionate professionals focused on increasing resiliency and reducing risk to lives and property throughout California. The Section works closely with local communities to enhance their resilience and adapt to the impacts of climate change such as wildfire, flood, sea level rise, drought, and extreme weather, in addition to other hazards such as earthquakes. The Quality Assurance Administrative Support Unit performs a broad list of tasks supporting the goals and objectives of the Hazard Mitigation Section including the Resilience Branch and Hazard Mitigation Assistance Branch.

Summary of the Position:The Administrative Assistant will perform a variety of less complex duties to support the mission of the Hazard Mitigation Section. The incumbent must have the ability to use technology for tracking and sharing financial data, data analysis, reporting, and to communicate with stakeholders through the HMA email account(s) and mass notification system. The OT will order materials for the office, track large purchases in Fi$Cal, and coordinate with building facilities.

Specifically, the Office Technician will:

Answering and directing incoming calls, emails, and aids the public.

Reviews monthly time sheets across all units to verify staff time is maximizing use of State Management Costs funding

Reviews travel claims to assist staff with organizing travel and navigating the travel reimbursement process

Distributes travel, administrative, and fiscal reports to assist the section with forecasted budget information.

Maintains the Section Calendar to track staff requests for time off and staff travel approval by the management team

Facilitates orders and inventories supplies and follows appropriate procurement procedures for supply ordering maintaining the basic staff needs

Typing written responses assigned to them, and a wide variety of material and correspondences, memorandum, letters, and reports

Assists management with special requests such as compiling data and/or entering data into templated documents.

Enters data from Assessment surveys supporting the clerical and administrative functions of Loss Avoidance Studies for the section.
