What You’ll Be Doing
Provides broad administrative support to the department, including compiling reports, maintaining files, managing staff calendar(s), organizing travel arrangements, answering phones, and assisting with miscellaneous projects. May also perform some bookkeeping activities.
Essential Functions
Keep your department organized and on schedule, including maintaining daily calendars and itineraries for travel and off-site plans.
Organize meetings and set up conference rooms.
Arrange travel schedules and prepare Travel and Expense reports.
Prepare and distribute reports and correspondence as needed.
Answer and screen incoming calls, provide assistance, and route calls appropriately.
Make calls to internal and external contacts to obtain or provide information, and schedule or confirm meetings.
Maintain files, handle copying, mailings, faxes, and shipments.
Assist office personnel and other Administrative Assistants with projects and correspondence.
Participate in special projects as assigned.
Attend meetings to take notes, transcribe memos, and proofread documents using Google and Microsoft Office.
Maintain confidentiality regarding personnel and executive information.
Requirements
At least 3 years of administrative experience.
Strong organizational skills and ability to work independently under tight deadlines.
Excellent written and verbal communication skills, with proper grammar, punctuation, and spelling.
Typing speed of 60 wpm.
Detail-oriented, well-organized, and capable of multi-tasking and prioritizing.
Team player with flexibility and adaptability.
Ability to maintain confidentiality.
Proficiency in Microsoft Word, Excel, PowerPoint, and Google applications; quick learner of new systems.
Preferred Experience
Experience in small business bookkeeping and/or accounting coursework.
College degree or coursework.
Salary
$23.41 – $32/hour; employees are eligible for overtime pay and performance incentives. Starting pay depends on skills, experience, and qualifications.
Physical and Visual Activities
Ability to communicate effectively verbally and in writing, interpret instructions, and see well enough to use a computer and read documents. Capable of lifting up to 15 pounds. May need to climb stairs depending on the property.
