A prestigious higher education institution is hiring an Administrative Assistant on a contract basis. This role is a critical part of their administrative team, offering the opportunity to support the Executive Assistant to the Vice Chancellor. The role is based in West Los Angeles with a hybrid schedule: four days onsite (Monday-Thursday) and one remote day (Friday). This is a six-month contract position with potential for extension, and compensation is up to $36/hour. Ideal candidates will possess outstanding organizational skills, attention to detail, and the ability to manage tasks in a fast-paced environment.
About the Role
The Administrative Assistant will support the Vice Chancellor through direct assistance to their Executive Assistant. This role includes high-level administrative responsibilities, requiring strong communication skills and a proactive approach to managing calendars, correspondence, and executive support needs. The position is highly visible and requires professionalism and discretion at all times.
Responsibilities
As the Administrative Assistant, your responsibilities will include:
Executive Office Support: Assist the Executive Assistant to the Vice Chancellor in the day-to-day administrative operations, ensuring tasks are completed efficiently and accurately.
Calendar Management: Coordinate and manage scheduling for meetings, appointments, and events, ensuring alignment with the Vice Chancellor’s and Assistant’s priorities.
Correspondence Handling: Draft, edit, and proofread professional correspondence, reports, presentations, and other documents for the Vice Chancellor’s office.
Meeting Logistics: Organize and prepare for meetings, including reserving rooms, setting up tech requirements, creating agendas, and taking minutes when required.
Travel Arrangements: Coordinate complex domestic and international travel itineraries, including accommodations, transportation, and schedules.
Records Management: Maintain organized and confidential digital and physical filing systems, ensuring easy access to necessary documents.
Vendor and Partner Liaison: Act as a point of contact for vendors, stakeholders, and university partners, ensuring professional communications and interactions.
Ad Hoc Tasks: Provide general administrative support as needed, including ordering supplies, handling courier services, and addressing urgent requests.
Qualifications
To be considered for this role, candidates must have:
Education: A minimum of an associate degree is required; a bachelor’s degree is preferred.
Experience: At least 2-3 years of experience in an administrative role, specifically supporting executives or senior leaders.
Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), and familiarity with virtual meeting platforms like Zoom or Microsoft Teams.
