Our client is seeking a dedicated and organized Administrative Assistant to join their team. This person will play a key role in supporting senior leadership and ensuring daily office functions are handled efficiently and professionally.

Responsibilities:
Provide high-level administrative assistance to leadership, including calendar oversight, meeting coordination, and travel logistics.
Act as a liaison for both internal teams and external contacts, managing communication with tact and professionalism.
Draft, revise, and assemble documents, presentations, and reports as needed for internal and external use.
Manage executive expense submissions and track reimbursements.
Maintain overall office functionality, including ordering supplies and coordinating with building services.
Monitor and arrange office upkeep and repairs to maintain a well-functioning work environment.
Help establish and uphold internal administrative systems and workflows.
Support general clerical duties including correspondence, file management, and records retention.
Provide assistance with document formatting, database updates, and other office software tasks.
Screen and redirect incoming communications to appropriate personnel.
Schedule meetings, appointments, and internal events while ensuring all parties are informed and prepared.
Sort incoming mail, maintain contact directories, and manage email lists.
Help plan and execute internal events, meetings, and off-site gatherings, handling catering and material prep.
Support team-building and staff engagement initiatives by coordinating logistics for company events.
Foster cross-functional collaboration and support interdepartmental communication.
Interface with vendors and service providers to manage deliveries, contracts, and service needs.
Qualifications:
Bachelor’s degree preferred; relevant experience and education considered in lieu.
2+ years experience in an administrative role, ideally with exposure to executive-level support.
Proficiency with Microsoft Office tools (Excel, Word, PowerPoint, Outlook).
Strong written communication skills with an eye for editing and clarity.
Comfort operating in a professional business environment.
Highly organized with excellent time-management and communication skills.
Proven ability to manage multiple priorities while maintaining a high degree of accuracy.
Demonstrated discretion when handling sensitive or confidential matters.
Capable of working independently while adjusting to changing priorities.
Experience with event coordination or project facilitation is advantageous.
