We now invite applications from suitably qualified and experienced Administrators to provide Administrative support to our Rehabilitation Department, a crucial aspect of Spirasi operations.
Position summary:
Spirasi is seeking a capable and proactive Administrator to work within the Rehabilitation Department to support our vital work. This key role will co-ordinate day-to-day Rehabilitation activities — including managing referrals in Salesforce as part of intake processes, preparing weekly referral review lists in Salesforce, processing review decisions, converting cases to contacts, and issuing correspondence, maintaining accurate, up-to-date organisation and referrer records, handling referral queries, creating cases, and coordinating with staff, organising legal and medical documents for medico-legal referrals — ensuring our organisation runs smoothly and our clients and staff are well supported.

Administrator (Rehabilitation) – Job Description
Title: Administrator (Rehabilitation)
Work Schedule: 35 hours per week (possibility of four-day week, pro-rata)
Contract Type: One Year Fixed Term
Rate of Pay: Scale: Approx. €32,000 pa
Reporting: Rehabilitation Manager
Location: Spirasi, 213 North Circular Road, Phibsboro, Dublin 7 with hybrid working in accordance with Spirasi Hybrid working policy.
Main Purpose of Role
Spirasi is seeking to appoint a suitably qualified, capable and proactive Administrator (Rehabilitation) to support the day-to-day operations of our organisation, with a particular focus on Rehabilitation administration. This is a key support role, and experience in working on intake processes in Salesforce would be very useful. In addition, the successful candidate will prepare weekly referral review lists in Salesforce, process review decisions, convert cases to contacts, and issue appropriate correspondence, maintaining accurate, up-to-date organisation and referrer records, handling referral queries, creating cases, and coordinating with staff, organising legal and medical documents for medico-legal referrals processes and office co-ordination. The ideal candidate will be someone who thrives in a varied role and is comfortable taking initiative.
Main Responsibilities
Organising referrals on Salesforce CRM software as part of our intake processes.
Preparing weekly referral review listings on Salesforce.
Processing referral review decisions including converting cases to contact records on Salesforce and generating and sending correspondence.
Creating and maintaining accurate and up to date organisation and referrer contact records.
Responding to initial referral queries, creating cases and correspondence using email templates. Liaising with staff members on queries.
Organising legal and medical documentation for medico legal report referrals.
Developing and maintaining waiting lists on Salesforce as required.
Booking initial consultation appointments for clients and assisting with interpreter bookings as required.
Updating appointment fields on Salesforce and keeping clinical team members informed of any cancellations or information related to the appointment in a timely manner.
Organising appointment worksheet on Share Point and sharing plan with clinical team members and other administration for review.
Running organisational monthly reports as required.
Sending out client feedback questionnaires and arranging compilation of feedback as required.
Updating complaints and compliments fields as required.
Ensuring sensitive information is protected and processing information in accordance with GDPR including securing hard file copy destruction.
Setting up Salesforce accounts for new staff and providing technical support to staff as required in conjunction with the Head of Operations.
Person Specification – Knowledge, Skills and Experience Required
Essential
· Salesforce or other CRM system/software experience of at least two years.
· At least 2 years’ experience in a similar Administrative role.
· Strong knowledge of GDPR and data protection obligations.
· Ability to manage multiple tasks while maintaining attention to detail.
· Relational skills (interpersonal) Strong communication skills, written and verbal.
· Possesses experience and understanding of cross-cultural work in administration.
· A self-starter with the ability to work independently and use good judgment.
· Comfortable working in a small organisation and adaptable to changing needs.
· Proficient in IT (Word, Excel, PowerPoint, Email).
· Excellent self-care practices.
Desirable criteria:
Experience in the not-for-profit or charity sector.
Familiarity with a broad range of CRM systems.
