About The Role

The Associate Administrative Assistant plays a vital role in supporting the administrative functions of the department. This position requires a proactive individual capable of managing confidential information, preparing reports, and performing a variety of clerical duties. The successful candidate will utilize their organizational and computer skills to streamline department operations, assist with budget activities, and provide excellent customer service to students, faculty, staff, and external stakeholders. Responsibilities include processing payroll, handling electronic purchase orders, maintaining files, and supporting special projects. The role demands a detail-oriented approach, strong communication skills, and the ability to multitask effectively in a fast-paced environment.

Qualifications

  • High school diploma or GED; additional training related to administrative support preferred
  • Minimum of one year of full-time related experience
  • Proficiency in Microsoft Office Professional or similar applications
  • Knowledge of office procedures, clerical functions, and basic accounting principles
  • Excellent organizational skills and attention to detail
  • Strong verbal and written communication skills
  • Ability to maintain confidentiality and exercise discretion
  • Effective customer service skills and ability to interact positively with diverse populations
  • Ability to manage multiple tasks and prioritize workload efficiently

Responsibilities

  • Provide administrative support including preparing reports, correspondence, and memos
  • Process forms, reports, and other documentation accurately and efficiently
  • Assist with payroll processing and verify time clock information for accuracy
  • Manage departmental files, manuals, and correspondence to ensure proper organization and accessibility
  • Coordinate and schedule meetings, appointments, and use of conference rooms
  • Make travel arrangements for faculty, staff, or supervisors, including booking flights, hotels, and rental cars
  • Support budget activities by assisting with purchase orders, expense tracking, and budget approval processes
  • Research and compile data for special projects and reports
  • Develop and maintain complex spreadsheets, charts, and macros to support departmental needs
  • Assist with preparing presentations, manuals, and other documentation
  • Respond promptly to inquiries from students, faculty, staff, and the public, providing accurate information
  • Perform clerical duties such as photocopying, scanning, and screening phone calls
  • Support departmental operations by maintaining supplies, equipment, and inventory
  • Perform other related duties as assigned to support the department’s mission and goals
