Job Title: Administrative Assistant, Full year

Reports to: Principal, Mill Pond School

Department: Administrative Assistant

Work Year: 261 days (less vacation and holidays)

FLSA Status: Non-Exempt

JOB GOAL: Under the direction of the Principal, the Administrative Assistant will perform secretarial/clerical/financial work to ensure the efficient operations of the school’s business

QUALIFICATIONS:

Education:
High School Graduate or GED required;
Bachelor’s degree from an accredited college/university in a related field is preferable but not required
Specialized Knowledge Preferred: MS Office applications, Google Suite (Gmail, Docs, Sheets, Slides, Forms), Database Management, PowerSchool, MUNIS, Frontline, cultural proficiency
CORI and Fingerprinting: All appointments are conditional based on a satisfactory CORI and SAFIS Background Check per 603 CMR 51.00.

PREFERRED EXPERIENCE:

Experience working with educational staff and families in an educational setting, ideally a diverse public school setting
Strong background in a customer service environment
Strong background performing the duties of an Administrative Assistant
Experience interacting with English Language Learners and their families
Experience interacting with students with special needs, including students with emotional, behavioral, and/or learning challenges, and their families
Knowledge and experience with school office technology and equipment

Multi-task in a fast-paced environment.
Excellent secretarial skills such as word processing, record keeping and filing, and database management
Creatively design school communications such as flyers, community email communications, or updating the website
Strong capabilities for financial matters with excellent attention to details and proper procedures
Communicate clearly and effectively, both orally and in writing
Establish and maintain effective relationships with students, colleagues, families, and community members

CENTRAL FUNCTIONS OF THE JOB (MAY INCLUDE BUT ARE NOT LIMITED TO):

Greets all incoming visitors for the purpose of ensuring that guests sign in/out as required
Generates attendance reports for staff and/or students as required including following up with families
Supports Principal and other administrative personnel for the purpose of assisting with their administrative functions
Maintains a variety of computerized and manual records, files, and department databases for the purpose of documenting activities, providing reliable information, and complying with district, state and federal requirements
Compiles data from a variety of sources (e.g. calendars, meetings, etc.) for the purpose of complying with financial, legal, and/or administrative requirements
Performs record keeping and general clerical functions (e.g. scheduling, copying, faxing, mailings)
Maintains the Student Activity Fund Records including following the protocols set forth by the Director of Finance and Operations (updating the spreadsheet, preparing and making deposits,and reconciling the account)
Prepares written materials (e.g. correspondence, agendas, minutes, newsletter, Parent Handbook, bulletins, reports, bank deposits, receipts, etc.) for the purpose of documenting activities, providing written reference and/or conveying information
Responds to inquiries from a wide variety of internal and external parties (e.g. staff, families, students, public agencies, etc.) for the purpose of providing information, facilitating communication among departments and/or providing direction as may be required
Schedules various activities (e.g. meetings, testing arrangements, assemblies, special programs, etc.) for the purpose of assisting in meeting staff needs and efficiently utilizing personnel, equipment, and facilities;
Processes a variety of fiscal information and maintains proper banking procedures
Collects fees and/or funds from student events (e.g. field trips, student fee money, etc.) for the purpose of ensuring the accuracy and timely completion of transactions
Prepares purchase orders for all building supplies and maintains inventory of supplies and materials
Maintains office equipment, tools, and work areas (e.g. load supplies, clear paper jams, etc.) for the purpose of ensuring a safe working environment and the availability of items within a specific time frame
Maintains and improves professional competence through active participation in professional development activities, and by self-generated activities that meet district expectations
Shares responsibility for accomplishing the goals and priorities of his/her/their department, school, and school district, and actively participates in all school meetings as required, and district-wide committees as needed
Performs such duties and tasks as may be requested by the principal, and other administrative personnel
Any other relative duties as assigned.

SUPERVISORY RESPONSIBILITIES:

The Administrative Assistant does not have supervisory responsibilities for other staff.

SALARY and BENEFITS:

Salary, benefits, and responsibilities per contract between the Westborough School Committee and the WEA Unit C (Administrative Assistants).
