Job Summary
We are seeking a detail-oriented and proactive Administrative Assistant to support our team in various administrative tasks. The ideal candidate will have a strong background in office management and possess excellent organizational skills. This role involves managing front desk operations, handling phone systems, and ensuring smooth communication within the office. The Administrative Assistant will play a crucial role in maintaining an efficient work environment.

Responsibilities

Manage front desk operations, including greeting visitors and answering phone calls.

Manage schedules, appointments, and communications effectively using Microsoft Outlook.
Prepare and maintain documents and reports using excel.
Utilize phone systems to handle incoming and outgoing communications effectively.
Perform data entry tasks accurately and efficiently.
Maintain organized filing systems for documents and records.
Assist with scheduling appointments and managing calendars using Google Suite.
Proofread documents to ensure accuracy and professionalism.
Provide administrative support to various departments as needed.
Handle correspondence, including emails and memos, in a timely manner.
Collaborate with team members to improve office processes and workflows.

Requirements

Provide comprehensive administrative support.
Proven experience as an Administrative Assistant or similar role, preferably in a financial firm.
Strong computer literacy with proficiency in Google Suite and other office software.
Excellent organizational skills with the ability to manage multiple tasks simultaneously.
Attention to detail and strong proofreading abilities.
Familiarity with front desk operations and customer service principles.
Ability to work independently as well as part of a team.
Effective communication skills, both verbal and written.
Bilingual (English and Spanish) is a plus but not an absolute if all other skill criteria are met.
