Data entry: entering financial information into our accounting software; updating customer and vendor information as requested.

Invoicing/billing: preparing and processing customer invoices and vendor bills

Accounts receivable: posting customer payments

Filing: Maintaining organized filing systems.

Vendor/Customer Communications: communicating with vendors and customers to resolve discrepancies.

Communication: Answering phone calls, taking messages, handling emails, and managing correspondence.

General Office Support: Ordering supplies, maintaining office equipment, and assisting with other clerical tasks.

Summary

As an Administrative Assistant, you will be an essential part of our team, providing vital support to ensure smooth daily operations. Reporting to the CFO, you will utilize your core skills in clerical duties, customer service, and organizational tasks to manage schedules, handle phone calls, and assist with data entry. Your proficiency in Microsoft Office and familiarity with accounting software will enhance our administrative processes. With your premium skills in office management, you will contribute significantly to creating an efficient and welcoming office environment.

Qualifications

Proficient in Microsoft Office and Google Suite
Strong clerical and administrative experience
Excellent organizational and time management skills
Customer service and phone etiquette expertise
Familiarity with accounting software
Experience with multi-line phone systems and front desk operations
Previous experience as a receptionist or personal assistant is a plus

Job Type: Full-time

Pay: $20.00 – $30.00 per hour
