Administrative Assistant-Design and Development Jobs in New York, NY at Shake Shack

The part-time Customer Care Associate will work approximately 3 full days between Monday through Saturday, from 9am to 5pm central time.

In addition to fielding phone calls, emails, and instant messages, you’ll handle payment processing, collections, scheduling deliveries, and the occasional police report filing (yes, you read that correctly—things get interesting). This role also involves light bookkeeping tasks and the maintenance of sensitive financial and personal information. We are on central time and open Monday – Saturday during the day. You must be available to work at least 3 full days each week for approximately 8 hours each day.

Key Responsibilities

Frontline Communication: Answer and direct incoming phone calls, emails, and instant messages promptly while maintaining a professional tone.
Customer Service & Collections: Assist customers with inquiries, account updates, and payment collections, providing courteous and solutions-oriented support.
Payment Processing: Accurately process payments, log transactions, and maintain financial records in accordance with company guidelines.
Police Reports: Coordinate with local authorities to file reports on lost, stolen, or damaged company property.
Scheduling & Coordination: Manage delivery schedules, maintain appointment calendars, and coordinate with internal teams to ensure timely fulfillment.
Light Bookkeeping: Perform basic accounting tasks including invoice management and expense reconciliation.
Data Confidentiality: Safeguard sensitive financial and personal information following company policies and regulatory requirements.
Administrative Support: Organize and maintain office records, files, and documentation; handle routine correspondence and data entry.

Qualifications

Education: High school diploma or equivalent; coursework or certification in business administration or accounting preferred.
Experience: Prior experience in reception, administrative support, or customer service. Familiarity with collections or financial transactions is a plus.
Technical Proficiency: Competent with Microsoft Office Suite (Excel, Word, Outlook); experience with accounting or CRM software a bonus.
Communication Skills: Exceptional verbal and written communication skills, with the ability to juggle professionalism and personality in equal measure.
Attention to Detail: Meticulous when handling sensitive data and managing multiple tasks—sloppy work doesn’t cut it here.
Problem-Solving: Adept at tackling questions, concerns, or minor crises as they arise—flexibility and resilience are key.
Confidentiality: Must demonstrate integrity and a strong commitment to maintaining confidentiality of personal and financial information.

Working Conditions & Hours

Position: This is a 1099/contract position.
Part-time contract position requiring approximately 24 hours per week.
Flexibility to accommodate peak call volume and occasional urgent tasks.
Standard office environment with the usual suspects: phones ringing, printers buzzing, and coworkers who might crack the occasional joke.
