Responsibilities and Duties
Responsible for the workorder process. This includes but is not limited to; opening and closing workorders, posting labor hours, posting mileage, writing clear and accurate descriptions of work performed.
Ensures that parts, labor, core charges and other expenses are correct, properly charged to both the workorder and internal account.
Review completed workorders to insure proper invoicing.
Submit completed Warranty workorders to the corporate warranty manager that require minimal changes and adjustments prior to claim submittal with all supporting documents.
Must be able to clearly communicate with technicians and management on missing information needed to perform workorder maintenance.
Analyze work in progress (WIP) data sheet for aged workorders that needs finalized.
Scan into Doc records all closed workorders.
Works with Shop Forman, Field and PM coordinators on processing workorders to close.
Perform various administrative assistant duties including, but not limited to: Scanning, faxing, filing, mail sorting and delivering, and other related duties
Assisting with planning, setting up and cleaning up of meetings and events hosted at the Branch.
Performs other duties as assigned by the Service Manager.
Qualifications
2-year College degree, Vocational school graduate or equivalent.
Valid driver’s license and a safe driving record.
Good Written and verbal communication skills, ability to demonstrate and state facts to all contact people.
Understanding of PC hardware/Software (Windows, MS Word, MS Excel, MS Outlook, MS PowerPoint)
Understanding of Manufacturers products (specifications, applications, operations, and structures).
Understanding of Manufacturers Service Policy and Procedure Manuals
Detail oriented, organized, and responsible.
Physical Requirements
Must be able to adhere to prolonged periods of sitting at a desk and working on a computer
Must be able to speak and write English, and hear to communicate
Must be able to lift up to 15 pounds occasionally
Must be able to use hands to operate office equipment
