Position: Administrative Assistant – The Eight Estate
The Role
Job Description:
As an Administrative Assistant you will play a vital role insupporting our real estate team. Your responsibilities will includea variety of administrative tasks to ensure the smooth operation ofour office and effective handling of real estate transactions.
Job Responsibilities:
Listing Properties:
Accurately listing propertiesensuring all details are uptodate and presented attractively. Lead Management:
Efficiently forwarding leads to the assigned agents andtracking followup activities. Commission Monitoring:
Keeping aclose eye on commission revenue ensuring
accurate tracking
andreporting. Contract Preparation:
Drafting and preparing Listing Agreements Contracts (Tenancy MOU FormA FormB) ensuring alldocuments are complete and compliant with regulations. EJARIRegistration:
Handling the EJARI registration process includingboth the contract and certificate. Coordination:
Liaising withdevelopers agents and clients to facilitate smooth transactions andcommunications. Office Operations:
Managing daytoday office taskssuch as answering phones taking messages scheduling appointmentshandling documents and receipts distributing reports andmaintaining both electronic and paper filing systems.
Communication
:
Making outgoing calls relaying emails and ensuringeffective
communication
within the team and with clients.
Reporting:
Regularly providing reports to managers on variousaspects of the business operations.
Team Support
:
Offering generalsupport to the real estate team as needed to enhance productivityand service quality. Accounts Assistance:
Assisting the accountsteam in preparing statements and explaining billing details totenants. Customer Service:
Resolving customer queries quickly andeffectively ensuring a high level of
customer satisfaction

Requirements
Qualifications:
Proven experience asan administrative assistant preferably in a real estate or relatedfield. Strong organizational and timemanagement skills. Excellentcommunication and interpersonal abilities. Proficiency in MS Officeand familiarity with real estate platforms such as Property Finder Bayut and Dubizzle.
Ability to
handle multiple tasks and work underpressure.
Attention to detail
and problemsolving skills. Highschool diploma; additional qualification as an administrativeassistant or secretary will be a plus.
