Job Overview
We are seeking a highly organized and detail-oriented School Office Administrator to join our team. The ideal candidate will be responsible for overseeing the daily operations of the school’s main office, ensuring smooth administrative functions, excellent customer service, and efficient communication between staff, students, parents, and visitors. This role requires strong organizational, interpersonal, and multitasking skills to maintain a welcoming and professional school environment.
Responsibilities
Administrative Management:
Serve as the first point of contact for visitors, parents, and staff, providing a welcoming and professional atmosphere.
Manage phone calls, emails, and in-person inquiries, directing them to the appropriate personnel.
Maintain student records, attendance logs, and other administrative documents.
Assist with enrollment, registration, and student file updates.
Handle sensitive and confidential information with discretion (e.g., student records, staff files).
Office Operations & Coordination:
Supervise the front office.
Order and manage office supplies, equipment, and inventory.
Process incoming and outgoing mail, packages, and deliveries.
Assist with scheduling meetings, appointments, and school events.
Coordinate substitute teacher assignments and staff absences as needed.
Student & Parent Support:
Assist with student check-ins/check-outs, late arrivals, and early dismissals.
Manage student health office coordination (medication logs, nurse visits).
Address parent concerns and escalate issues to administration when necessary.
Help organize school communications (newsletters, announcements, emergency alerts).
Financial & Record-Keeping Duties:
Process payments for school fees, lunches, and fundraisers.
Maintain accurate financial records and deposit school funds as required.
Assist with budget tracking for office expenses.
Safety & Compliance:
Monitor visitor access, ensuring all guests sign in and follow school safety protocols.
Support emergency procedures (fire drills, lockdowns) by maintaining logs and assisting with drills.
Ensure compliance with school policies, district regulations, and data privacy laws.
Qualifications & Skills:
Education: High school diploma required; associate or bachelor’s degree in administration or related field preferred.
Experience: 3+ years in office management, school administration, or customer service.
Technical Skills: Proficiency in Microsoft Office, student information systems (e.g., Facts, and Class Dojo), and office equipment.
Soft Skills:
Excellent communication (verbal & written)
Strong organizational & multitasking abilities
Problem-solving & conflict resolution
Professionalism & discretion with sensitive information
Certifications:
CPR/First Aid training (preferred ).
Work Environment:
Fast-paced school setting with frequent interruptions.
Interaction with students, parents, teachers, and district personnel.
May require occasional evening/weekend work for school events.
