Since its inception in 1886, the State Fair of Texas has celebrated all things Texan by promoting agriculture, education, and community involvement through quality entertainment in a family-friendly environment. The State Fair of Texas is a 501(c)(3) nonprofit organization with proceeds helping to preserve and improve our home, Fair Park; underwrite museums, community initiatives, and scholarship programs to support students throughout the Lone Star State pursuing higher education; and help improve State Fair operations.
SUMMARY
The Receptionist supports daily office operations through various clerical and administrative tasks. Primary responsibilities include answering and directing phone calls to the appropriate employees or departments, and greeting and assisting visitors courteously and professionally. The Receptionist also plays a vital role in fostering a positive and professional workplace environment, contributing to a culture of hospitality, organization, and team collaboration.
DUTIES and RESPONSIBILITIES
Essential and other important responsibilities and duties may include, but are not limited to, the following:
Essential Functions:
Answering phones and accepting appropriate information or messages.
Greet and engage every guest promptly to ensure they feel welcomed.
Provide exceptional customer service by phone and in person, exceeding expectations.
Verbal and written communication skills to interact clearly with customers, vendors, and other employees.
Time management skills to prioritize and complete various tasks throughout the day.
Patience and listening skills to respond appropriately and interact positively with upset guests.
Interpersonal skills to create a pleasant customer experience, such as being personable and attentive.
Responsible for the organization and presentation of the Front Desk area.
Contribute to the planning and execution of employee events.
Manage office inventory and stock the kitchen with drinks and snacks.
Manage and support the Voice Over IP phone system.
Manage key fob distribution and ensure site maintenance.
Marginal Functions:
Support the Mission Statement of the State Fair of Texas.
Complete all training as directed by management.
Perform related duties and responsibilities as required and other duties as assigned.
QUALIFICATIONS
Knowledge of:
Computer usage and Microsoft Office (or comparable) products.
Must possess basic clerical skills.
Be customer-focused.
Ability to:
Excellent verbal communication and telephone etiquette.
Communicate clearly and concisely, both orally and in writing.
Perform multiple tasks simultaneously.
Handle guest service issues calmly and professionally.
EXPERIENCE and TRAINING GUIDELINES
Any combination of experience that would likely provide the required knowledge is qualifying. A typical way to obtain the knowledge and abilities would be:
Preferred Education and/or Experience:
Customer service experience
High School Diploma or GED equivalent.
One to three years of administrative support or related experience.
WORKING CONDITIONS
Environmental Conditions:
Office environment; exposure to computer screens.
Works independently with regular supervision to clarify assignments and receive guidance as needed.
Physical Conditions:
Essential and other important responsibilities and duties require maintaining the physical condition necessary for
Remaining in a stationary position for prolonged periods.
Moving short and long distances to access office supplies, meet guests, perform duties within Fairgrounds, etc.
Verbally communicate with both internal and external contacts.
Occasionally lift objects no more than 25 pounds unassisted.
