Summary: Vital Services is seeking a talented and experienced Administrative Billing Clerk to join our growing Information Technology team in Allen, TX. This is an extraordinary opportunity to be a part of, and play an integral role in, the expansion of our growing administrative team! As an Administrative Billing Clerk, you will provide purchasing and billing support to our IT team, communicate with clients and vendors to resolve billing inquiries, and identify and implement solutions to problems. You will work with the project teams to track approved and worked hours and bill clients accordingly. The qualified candidate will also assist with additional administrative tasks as needed.

Responsibilities of the Administrative Billing Clerk include:

Perform various clerical activities, including data entry, information verification, and billing handling.
Efficiently compile, review, and send client bills, including handling complex billing scenarios such as split-party billing and electronic bills.
Ensure billing accuracy, address any billing-related inquiries or issues, and aid in the investigation of billing discrepancies and errors.
Review Purchase Orders and order correct products needed to fulfill our customer’s needs.
Assist with processing Accounts Payable, as needed.
Reconcile monthly expense reports in a timely manner.
Review monthly hours report and audit 5,000+ line items for accuracy and prepare for client billing.
Utilize software tools like Adobe, Excel, OneNote, and Word for administrative tasks and generate insightful reports.
Work with projects teams to develop statements of work and track approved hours for ongoing projects.
Communicate clearly and professionally, both verbally and in writing, to various audiences.
Document internal procedures and manage knowledge base.
Perform various administrative tasks and ad hoc requests as assigned.
Assist Senior Administrative Assistant with other project coordination and administrative tasks as needed.
Maintain a clean and organized work environment.

Qualifications of the Administrative Billing Clerk include:

Requires a high school diploma or equivalent.
A minimum of 2 years of hands-on billing experience is required.
A minimum of 3 years of administrative and/or office experience is required.
Experience with accounts receivable and/or IT accounting preferred.
Knowledgeable and experienced with Microsoft Office, especially Advanced MS Excel.
Strong organizational and time management skills with the ability to multitask and prioritize workload effectively.
Excellent verbal and written communication and customer service orientation.
Ability to manage multiple tasks with a sense of urgency and thorough attention to detail.
Ability to manage multiple mailboxes and meet deadlines.
