The Office Coordinator performs a diversity of administrative support and customer service tasks to ensure efficient operation of their office environment. The Office Coordinator may be required to perform clerical tasks within a corporate office setting to support daily operations of the Central Office (CO) and Central Billing Office (CBO). The Office Coordinator serves as an initial professional and welcoming representative of MedVanta when greeting and communicating with visitors and callers. Must possess outstanding communication, time management, customer service, and problem-solving skills with the ability to anticipate the needs of the office and personnel to ensure a cohesive and effective operation.

Primary Responsibilities
The incumbent may be asked to perform job-related tasks other than those specifically stated in this description. The duties and responsibilities of the position are to be carried out in a manner that is consistent with the Mission, Core Values and Operating Principles of MedVanta.

Serves visitors by greeting, welcoming, notifying company personnel of visitor arrival, and directing them appropriately. Displays and maintains a professional and service-centered atmosphere with all visitors emblematic of the service MedVanta strives to deliver.
Serves as the Administrator for RingCentral accounts.
Operates multi-line telecommunication and VOIP system to screen calls, answer general queries, route callers to the appropriate party effectively and politely, and follow-up on all voicemails and faxes in a timely manner.
Prepares or assists with the preparation of expense reports, as requested.
Assists in all coordination aspects related to meetings to include, but not limited to, preparation, review, compilation, and submittal of slide decks, taking minutes or notes during meetings, tracking RSVP responses to meetings and other related tasks.
Assists executives with tasks including, but not limited to, maintenance of calendars, booking travel, assisting in coordination of meetings, preparing relevant resources for meetings, confirmation calls and reminders to meeting participants.
Anticipates needs of the office and team that may arise to proactively ensure a continued seamless experience and function of systems and operations.
Manages all office in/out-bound mailing, distribution, and shipping.
Maintains cleanliness and organization of front reception areas and kitchens as well as consistent stock of office and kitchen supplies. Including ordering of various supplies, labor and compliance posters for the CO, CBO, and practices, and vendor management.
Coordinates conference room meetings and sets up multimedia for meetings including video conferencing, projector/screen setup, presentations, etc.
Develops and maintains an always updated organization directory.
Processes validation for parking tickets for guests and employees, new hire key fob registrations and parking passes, and reimbursements as needed.
Manages internal documents and databases and creates standardized organization systems.
Assists with the coordination of annual meetings and company events including set up and serving as a helper at events when necessary.
Liaises with executive and senior office and client personnel as needed to provide support in requests, queries, and projects.
Performs all other duties as assigned.

Required Education and Experience

High School Diploma or GED.
2+ years of administrative experience, preferably in an enterprise and role of similar size and function.
Proficiency with Microsoft Office suite of products, as well as proficiency with standard office software and applications.
Outstanding time management skills and the ability to work effectively across multiple forms of communication and teams.
Strong organizational skills with the ability to multi-task and be effectively productive with little given direction in the highly demanding environment of an enterprise operating as a management service organization.

Must be able to read, write, speak, understand, and communicate in the English language.

Physical Demands

Must be able to sit for long periods of time and lift up to 25 pounds.
Must be able to use appropriate body mechanics techniques when performing desk duties.
Requires frequent bending, reaching, repetitive hand movements, standing, walking, squatting, and sitting.
Adequate hearing to perform duties in person and over telephone.
Must be able to communicate clearly to patients in person and over the telephone.
Visual acuity adequate to perform job duties, including reading materials from printed sources and computer screens.
