Overview

Join our dedicated team as a Senior Administrative Assistant, providing high-level administrative support and office coordination for the Commercial and Construction Divisions to facilitate effective operational management and client services.

The successful applicant will have a hybrid work arrangement, and this position’s starting base annual salary equivalent is $58,000 – $61,000, and quarterly incentive opportunities targeting up to 7.5 % of the base salary.

Responsibilities

Provide high-level administrative assistance to executives and senior management.

Manages case administration services, including document upload, data entry, and case follow-up.

Serve as the primary point of contact for office administrative matters, fielding inquiries and escalating issues as needed.

Administer and maintain databases, files, and record-keeping systems, ensuring data accuracy and integrity.

Plan and execute meetings, conferences, training sessions, and other events, managing all logistical details.
Prepare reports, presentations, correspondence, and other materials as requested.

Maintain confidentiality and exercise discretion when handling sensitive information.

Manage and coordinate cross-functional programs, projects, and initiatives from planning through execution and follow-up.

Continuously evaluate and document administrative processes to identify inefficiencies and areas for optimization.

Plan and execute meetings, conferences, training sessions, and other events, managing all logistical details.

Collaborate with teams to identify and resolve issues, mitigating risks and roadblocks.

Compile data, prepare reports, and conduct analyses to evaluate program/project performance and outcomes.

Demonstrates regular, reliable, and predictable attendance.

Regularly attends meetings and training events, both on-site and virtual.

Qualifications

Education & Experience:

Associate degree in a business-related discipline; 1-3 years of experience progressive experience in an administrative support capacity and expertise in comprehensive customer service in a law office or judicial industry; or an equivalent combination of education and work experience.

Language Skills:

Ability to read and interpret documents such as legal files, business correspondence, and procedure manuals; ability to write routine reports and business correspondence; ability to speak effectively, both in person and by telephone, to customers, arbitrators, mediators, or employees of the organization.

Mathematical Skills:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals; ability to compute rate, ratio, and percent and to draw and interpret bar graphs; ability to understand and interpret statistical reports, data charts, and graphs.
